What they need

We're a family-owned private practice, and that means something. Our patients aren't chart numbers — they're neighbors, families, and long-term relationships we've built over years. As our Patient Coordinator, you're the first face they see and the steady hand that keeps our front office running. We're looking for someone who doesn't wait to be told what to do, takes ownership of their role, and genuinely cares about the people walking through our door. If you're a self-starter who thrives in a fast-paced dental environment and takes pride in doing things right — we'd love to meet you.

About HARRIS DENTAL ASSOCIATES (HDA), P.C.

Harris Dental Cape Cod is a four-location private dental practice with strong community roots and long-standing patient relationships. Our team has built a reputation for delivering high-quality dentistry and earning the trust of our patients. We have one very simple goal: deliver exceptional dentistry while maintaining the supportive, patient-first culture of a true private practice.Description

What You'll Do

Patient Experience

  • Warmly greet patients and guide them through check-in and check-out
  • Verify and update demographics, insurance information, and benefits (Ascend)
  • Maintain a clean, welcoming front desk, waiting area, and restrooms

Scheduling & Patient Flow

  • Manage, confirm, and reschedule appointments to keep the schedule full and efficient
  • Monitor patient arrivals and coordinate flow between the front office and clinical team
  • Follow up on missed appointments and cancellations in alignment with the doctor

Treatment Coordination & Collections

  • Review treatment plans with patients, explain financial implications, and obtain signatures
  • Collect balances for current and past-due accounts
  • Pre-authorize necessary treatment and schedule follow-up care

Administrative & Communication

  • Monitor and respond to emails and voicemails same-day
  • Execute patient communication campaigns using in-house marketing tools
  • Provide patient education materials (ADA brochures) as needed
  • Escalate complex issues to the Business Manager

Own Your Downtime

When the lobby is quiet, we expect you to fill that time with purpose — recare outreach, schedule gap review, balance follow-up, confirmations. In a private practice, everyone pulls their weight and finds the work. That's the culture here, and we're proud of it.

What We're Looking For

  • 2+ years of experience in a dental office (required)
  • Experience supporting specialty providers — endodontists or periodontists — is a plus, but not required
  • Proficiency in dental practice management software — Ascend experience a plus
  • A true self-starter: someone who identifies what needs to be done and does it without being asked
  • Strong multitasking and organizational skills in a fast-paced setting
  • Excellent phone etiquette, written communication, and interpersonal skills
  • A warm, professional demeanor with genuine empathy for patients
  • Comfortable with technology and basic computer systems
  • Our team supports multiple practice locations. Your schedule will typically be set in advance, and we'll always give you a heads-up when you're needed at a different site. On rare occasions, we may ask you to step in at another location on short notice to cover an unexpected absence — flexibility and team spirit go a long way here.

Pay: $30.00 - $32.00 per hour

Benefits:

  • 401(k)
  • Employee discount
  • Paid time off
  • Paid training
  • Uniform allowance

Experience:

  • dentrix ascend: 1 year (Preferred)
  • dental office: 2 years (Preferred)
