What they need

Practice Manager — Sonrisa Family Dental

Indeed posting · Chicago, IL · Full-time · Pay beginning at $63,000 a year

About the role

Sonrisa Family Dental is a growing group of sixteen dental offices across Illinois and Florida. We care for Medicaid and commercially insured families side by side in the neighborhoods we serve, and we are hiring a Practice Manager to lead one of our Chicago-area offices. The specific office is confirmed during the interview process.

The Practice Manager runs the office: the patient experience, the team, the way the practice looks and feels, the doctors’ day and the results. You lead every non-doctor team member, partner with the doctors who practice there, and answer for the office’s numbers with the same confidence as its culture. You report to the Regional Operations Manager and work closely with Human Resources, our Billing and Credentialing Manager and fellow Practice Managers across the group.

This is the most important leadership role at Sonrisa. It is built for a leader who wants to run a practice as if it were their own business, with the support, systems and standards of a growing group behind them.

What you will do

Own the patient experience

  • Deliver a warm, organized, respectful visit for every patient, from the first phone call to the next appointment, and teach that standard to your team.
  • Walk the office as a patient would every morning and fix what you find before the first patient arrives.
  • Own the office’s online reviews, patient feedback and complaints: read them weekly, respond, and work every pattern with the team.

Lead and engage the team

  • Schedule, supervise and develop every non-doctor team member: front desk, coordinators, dental assistants, hygienists and leads.
  • Hold a real conversation with every team member about their work and goals each month; recognize good work by name every week.
  • Conduct 30-, 60- and 90-day and annual reviews; coach, document and carry out corrective action with Human Resources.
  • Recruit, interview, onboard and cross-train so the office runs when someone is out.

Run the day

  • Lead the morning huddle with the doctors and team; manage patient flow; keep the doctors’ day running.
  • Own the schedule: templates, confirmations, open time, broken appointments and the recare and unscheduled-treatment lists, with daily call targets.
  • Make sure eligibility is verified the day before, treatment and costs are explained before care begins, and patient portions are collected at the visit.

Protect the results

  • Know and report daily production, collections, schedule fill, new patients and case acceptance; act on them daily and review them monthly with your Regional Operations Manager.
  • Complete the end-of-day close and report every day; make and log deposits the same day with a two-person count.
  • Manage labor hours and supply spend within the office budget.

Keep the office safe, compliant and professional

  • Maintain OSHA, HIPAA, infection-control and radiation-safety requirements; keep training and logs inspection-ready.
  • Hold the office to the Sonrisa appearance standard, clean, organized and professional in every area, and the dress-code and conduct standard for every team member, starting with yourself.

How we lead at Sonrisa

Every Sonrisa leader is measured on seven competencies: Emotional Intelligence, Business Acumen, Doctor Relationship, Patient Experience, Operational Excellence, Performance Management and Contributor to Company Vision. They are the foundation of your reviews, your development plan and the Practice Manager track in Sonrisa University, our internal training program.

Four commitments come with the role: you lead by example and build a healthy culture; you are there, on time, every time, and so is your team; every job is done fully, every shift, by every person; and your practice looks, sounds and feels like Sonrisa.

What you bring

Required

  • Three or more years managing people in a dental practice, with responsibility for a team, a schedule and results. Multi-location or dental group (DSO) experience strongly preferred.
  • Working knowledge of dental office operations: scheduling, insurance and Medicaid eligibility, treatment-plan presentation, the end-of-day close, cash handling, recare, and OSHA, HIPAA and infection-control requirements.
  • Experience with a dental practice-management system (Dentrix Ascend preferred) and comfort with reports, spreadsheets and time-and-attendance systems (Paylocity preferred).
  • A record of holding a team to a standard with fairness and warmth, and of improving an office’s results. You can describe what you inherited, what you changed and what happened.
  • Experience conducting performance reviews, coaching and corrective action in partnership with Human Resources.
  • Clear, confident communication with doctors, teams, patients and leaders.
  • Unquestioned integrity with patients’ information, money and people.

Preferred

  • Bilingual English and Spanish.
  • Associate’s or bachelor’s degree in business, healthcare administration or a related field, or equivalent experience.
  • Experience with Medicaid and managed-care dental plans.
  • A practice-management credential, for example through the American Association of Dental Office Management.

Pay, benefits and schedule

  • Pay: beginning at $63,000 a year, based on experience. Full-time, salaried, exempt.
  • Benefits: medical, employee dental benefit, vision, life and disability insurance; 401(k); paid time off, paid sick leave, two paid Mental Health Days and six paid holidays; mileage reimbursed for company travel.
  • Schedule: built around the office’s patient hours, which can run from early morning into the evening and include Saturdays. You are on site for the opening or the close most days.
  • Location: one assigned Sonrisa office in the Chicago area, confirmed during the interview process. Managers’ meetings at our corporate office, 3520 S. Morgan St., Chicago, or by Teams.
