What they need

Patient Coordinator — Sales & Treatment Consultant

Wattle Park Dental (My Implant Dentist) — Surrey Hills, Melbourne VIC
Full-time | Competitive hourly rate + performance incentives | Full clinical training provided

We’re hiring a natural connector!

This is a sales-driven, patient experience role inside one of Australia’s fastest-growing implant and cosmetic dental groups.

If you thrive on meaningful conversations, enjoy guiding people through major life decisions, and want a role where your impact is both emotional and financial — this could be the career move you’ve been looking for.

About the Role

Our patients come to us at a turning point — living with missing teeth, failing dental work, or a smile they’ve hidden for years.

As a Receptionist, you are:

  • Welcoming patients and making them feel comfortable, cared for, and confident from the moment they arrive
  • Managing appointments, phone calls, and emails with professionalism, warmth, and attention to detail
  • Coordinating with dentists, hygienists, and nurses to keep schedules running smoothly and on time
  • Handling administrative tasks, including patient records, data entry, correspondence, and filing
  • Processing payments, invoices, and health fund claims accurately and efficiently
  • Maintaining accurate patient information within the practice management system
  • Supporting day-to-day practice operations, including scanning, documentation, and general office duties
  • Staying positive, organised, and calm, even during busy periods
  • Taking ownership of the front desk and patient experience, ensuring a consistently high standard of service

As a Patient Coordinator, you are:

  • The first voice that reassures them
  • The face that welcomes them
  • The guide who walks them through treatment and investment decisions

You will own the patient journey end-to-end — from initial enquiry through to post-surgery follow-up. Your ability to build trust, communicate value, and confidently guide patients through high-value treatment decisions is what drives success in this role.

Key Responsibilities as a Patient Coordinator

  • Convert inbound enquiries into booked consultations through structured, high-quality conversations
  • Present treatment plans, fees, and finance options (Humm, Zip, super release, payment plans) with confidence
  • Guide patients through hesitation and decision-making with clarity, not pressure
  • Coordinate complex treatment cases (IV sedation, GA, lab timelines, surgical schedules)
  • Manage and maintain a clean, active CRM pipeline
  • Act as the key point of contact between patients, clinicians, and the front-of-house team

About You

You’re a strong communicator who builds trust quickly and genuinely enjoys helping people navigate important decisions.

You likely bring:

  • Experience in sales or consultative roles (healthcare, aesthetics, property, hospitality, or similar)
  • Confidence discussing fees, finance, and closing decisions
  • High emotional intelligence — you adapt your communication style with ease
  • Strong organisation and follow-through — nothing slips through the cracks
  • A genuine interest in healthcare and patient outcomes

Dental experience is not required — we’ll teach you everything you need to know.

What We Offer

  • Structured 8-week training program (clinical, systems, finance conversations, objection handling)
  • Clear career progression
  • Ongoing coaching from senior team members
  • A supportive, high-performing team culture
  • Real career growth into leadership roles
