Overview
The Design Administrator will manage the day-to-day administration of the Timber Frame Design department, with particular responsibility for the control, issue and tracking of drawings throughout the life of each timber frame project. The role supports the design office, the CNC/production team and the wider business by preparing drawing packs, issuing ADT and approval drawings to customers, following these through to sign-off, and maintaining accurate project records and certification. This position is varied and offers a great opportunity to grow in a busy and exciting time in the construction industry. The Timber Frame Design Administrator will report to the Design & Technical Manager and work closely with the design team, CNC/production and the contracts department.

- Follow up approval drawings with customers and design team members to secure sign-off within the agreed programme dates, chasing outstanding approvals and escalating delays to the Design & Technical Manager.
- Receive incoming drawings from customers, architects, engineers and external consultants; check revisions against those held, log them, distribute to the relevant departments and archive superseded versions.
- Maintain an accurate and up-to-date drawing register and revision history for every project.
Project Set-Up & Certification
- Populate new project folders in line with the company filing structure, setting up the required sub-folders, templates and reference documents at project handover.
- Request, track, log and file ancillary certificates, issuing them to customers, certifiers and assigned certifiers as required and maintaining the ancillary cert register.
- Ensure project documentation is complete and readily retrievable for design, production, contracts and handover purposes.
CNC Admin Support
- Provide administrative support to the CNC and production team, including the preparation, transfer and record-keeping of cutting files.
- Maintain CNC job records and produce job sheets, labels and supporting paperwork for production.
- Liaise with CNC operators and designers on file queries, ensuring the correct revision is machined.
General Administration
- Monitor the design inbox, acting as first point of contact for incoming emails and queries, responding directly or directing them to the appropriate person and following through to resolution.
- Filing and archiving of drawings, certificates and correspondence, both electronic and hard copy.
- Order and maintain stationery and office consumables.
- Attend weekly design and planning meetings.
- Ensure the smooth flow of information between the design office and other departments.
