We’re Hiring: Despatch & Fleet Coordinator

Top Living in the kitchen manufacturing and joinery industry is seeking an experienced Despatch & Fleet Coordinator to coordinate daily despatch operations, delivery schedules, fleet utilisation and warehouse activities.

This is a hands-on coordination role requiring strong organisational skills, operational discipline and the ability to work independently in a fast-paced manufacturing environment. The successful candidate will oversee and coordinate a despatch team, including drivers, delivery personnel, despatch clerks and assistants, ensuring efficient operations and reliable project delivery.

Key Responsibilities

Despatch & Delivery Coordination

Plan and manage daily despatch and delivery schedules in line with production output and project requirements.

Coordinate the allocation and dispatch of finished goods to ensure orders are delivered in full and on time.

Organise shipments of completed joinery and finished goods.

Monitor outstanding requirements and proactively address potential delivery delays.

Provide clear instructions to drivers, delivery teams and despatch personnel.

Maintain effective communication with Site Managers, Production, Operations and Installations.

Fleet Management

Coordinate the allocation and utilisation of company vehicles and trucks.

Allocate drivers and vehicles according to delivery schedules and operational priorities.

Monitor vehicle servicing, maintenance and repairs.

Maintain accurate fleet records and ensure vehicle availability.

Warehouse & Loading Coordination

Ensure finished goods are correctly allocated, prepared and loaded for delivery.

Coordinate loading activities and shift handovers, including night-shift loading where applicable.

Maintain warehouse organisation, housekeeping and operational standards.

Assist with stock receiving and allocation where required.

Team Coordination

Allocate daily tasks and resources across the despatch and delivery team.

Provide operational direction to drivers, delivery personnel, despatch clerks and assistants.

Support the team in resolving day-to-day operational challenges.

Promote effective communication, accountability and a service-oriented working environment.

Operational Compliance

Ensure despatch, delivery and fleet activities comply with company procedures and applicable legal requirements.

Maintain accurate operational and delivery documentation.

Escalate operational risks, fleet issues and delivery constraints to management timeously.

Work collaboratively across departments to minimise delivery delays and site downtime.

Key Performance Areas

On-time and in-full (OTIF) delivery performance.

Accurate despatch planning and order allocation.

Effective fleet utilisation and vehicle availability.

Compliance with vehicle servicing and maintenance schedules.

Reduction of avoidable delivery delays and site downtime.

Effective team coordination, shift handovers and loading allocation.

Warehouse housekeeping and compliance standards.

Reliable communication with drivers, Site Managers and internal stakeholders.

The ideal candidate will be organised, proactive and confident coordinating a diverse operational team, with the ability to prioritise competing demands and operate with a high degree of independence in a manufacturing environment.
