This position plays an important support role in the School’s fundraising and donor engagement efforts by assisting with gift processing and acknowledgements, maintaining accurate donor records, preparing correspondence and mailings, supporting fundraising events, and providing general administrative assistance to the Development team.

The Development Assistant is primarily a support position and is not expected to independently manage a fundraising portfolio or be responsible for soliciting gifts. Task/Essential Functions:

  • Provide general administrative and clerical support to the Development team.
  • Assist with processing charitable gifts and preparing donor acknowledgement letters and other correspondence.
  • Enter and update donor, prospect, gift, and constituent information in the School’s database and help maintain accurate and confidential records.
  • Assist with preparation, organization, production, and mailing of fundraising solicitations, invitations, donor communications, and other Development materials.
  • Support fundraising and donor events, including invitations, RSVPs, guest lists, name tags, event materials, vendor coordination, setup, and other event logistics.
  • Assist with donor stewardship activities and preparation of materials for donor meetings and visits.
  • Help maintain Development calendars, files, reports, mailing lists, and other departmental records.
  • Conduct basic research on donors, prospective donors, foundations, and community organizations as requested.
  • Assist with coordination of Development-related activities involving parents, alumni, volunteers, and other members of the Oxbridge community.
  • Work collaboratively with the Advancement team and other School departments.
  • Maintain appropriate confidentiality regarding donor, student, family, and School information.
  • Assist with special projects and other Development activities as assigned.

Qualifications:

  • High school diploma or equivalent required; college degree not required.
  • Previous administrative, office, customer service, nonprofit, school, fundraising, or event experience preferred but not required.
  • Strong organizational skills and attention to detail.
  • Ability to accurately enter, maintain, and organize information and records.
  • Strong interpersonal skills and a professional, courteous approach when interacting with donors, parents, alumni, volunteers, colleagues, and other members of the School community.
  • Effective written and verbal communication skills.
  • Working knowledge of Microsoft Office, including Word, Excel, and Outlook, and the ability to learn database and fundraising software.
  • Ability to manage multiple assignments, follow established procedures, meet deadlines, and ask questions when clarification is needed.
  • Ability to work independently while also contributing effectively as a member of a team.
  • Dependable, flexible, and willing to assist wherever needed.
  • Commitment to maintaining confidentiality and exercising appropriate discretion.

Work Schedule:

This is a part-time, non-benefited position. The regular work schedule will be established based on the needs of the Development Office. Some flexibility in scheduling may be required during major fundraising initiatives, donor events, and other School activities, including occasional evening or weekend hours for events.
