Position Summary

We are seeking a highly reliable, proactive, and tech-savvy Digital Marketing Administrator to manage the operational marketing pipeline for a high-profile podcast and media account. The ideal candidate is a proactive system-builder who naturally anticipates needs, takes ownership of workflows, and automates processes using AI tools to drive maximum efficiency.

In this role, you will serve as the operational backbone of the podcast and marketing workflow. You will oversee podcast production, manage downstream freelance resources, create promotional assets, and maintain strict tracking of daily deliverables. We are looking for a true owner who stays weeks ahead of episode releases and thrives in a high-transparency, fast-paced environment.

Key Responsibilities

Podcast Production & Video Operations

• End-to-End Pipeline Management:

  Oversee core interview-editing workflows, administrative publishing duties, and the creation of multi-format video packages with complex graphical overlays.

• AI-Driven Editing:

  Leverage advanced AI tools for podcast editing to maximize efficiency, scale output, and eliminate manual editing waste.

• Freelance Orchestration:

  Coordinate with external freelance editors to ensure the timely delivery of all assets while maintaining an explicit, consistent email hand-off log to track when production assets are cleared and moved downstream.

AI-Powered Content & Copywriting

• Proactive Show Notes:

  Draft and finalize highly engaging episode show notes weeks in advance using available raw transcripts.

• LLM & Quote Extraction:

  Utilize Large Language Models (LLMs) to scan transcripts, extract powerful quotes, and generate high-converting "hooks" for TikTok and short-form video.

• SEO Strategy:

  Develop and implement targeted SEO strategies for all podcast episodes to increase organic discoverability.

• Historical Cross-Promotion:

  Review past episodes to pull relevant quotes and "proof of concepts" to cross-promote new guest book launches or related content.

Social Media & Asset Design

• Visual Asset Creation:

  Produce high-quality promotional materials, including TikTok-style short trailers, audiograms, quote cards, and episode thumbnails.

• Advance Delivery:

  Ensure all social assets and quotes are finalized and delivered days in advance, allowing ample time for strategic promotion prior to the episode release date.

• Publishing & Distribution:

  Manage social media schedules, write compelling captions, publish content across multiple platforms, and draft/schedule newsletters.

• Asset Management:

  Handle the uploading, organizing, and routing of guest video files and other necessary release assets.

Operational Excellence & Transparency

• Communication & Delivery Tracking:

  Maintain strict daily operational hygiene by logging all completed tasks, subtasks, and deliverables at the end of each shift in the Communication and Delivery Tracker.

• Capacity Management:

  Log estimated completion times for all tasks to accurately track workload, justify production hours, and optimize team bandwidth.

• Quality Assurance & Compliance:

  Adapt to comprehensive show briefs and ensure all deliver

Technical Skills & Qualifications

• "System-Builder" Mindset:

  Demonstrate proactive ownership by taking the initiative to complete core assets as soon as raw materials (such as transcripts) become available, rather than waiting until release day.

• AI & Technical Proficiency:

  Possess strong technical ability to leverage AI and LLMs to automate repetitive workflows, generate hooks, and scale output without sacrificing quality.

• Reliable Communication:

  Maintain highly proactive daily communication, provide clear status updates, set professional boundaries, and ensure total alignment with client expectations.

• Hyper-Organization:

  Demonstrate the capacity to handle a high volume of moving parts while adhering strictly to daily activity logging for full operational transparency.

• Experience:

  Proven experience in digital marketing administration, podcast production coordination, or content operations.
