What they need
KEY RESPONSIBILITIES & ACCOUNTABILITIES:
1. Enterprise Platform Implementation & Ownership
- Coordinate delivery of approved system implementations from discovery and requirements through build or configuration, migration, testing, UAT, training, go-live, handover and benefits review. The business owner approves requirements and accepts the solution.
- Maintain a roadmap and inventory for approved systems, including Yardi (Facility Manager, Lease/Deal Manager, Procure to Pay, Forecast Manager, Voyager (Financial Accounting), Commercial Café (Tenant Portal)), Microsoft 365/Power Platform, Lexzur and DocuSign.
- Record owners, users, integrations, data, support and licence details;
- Coordinate vendor engagement on requirements, releases, support, enhancements, service levels, licences and escalations with IT, Procurement and the business owner.
- Review usage and feedback after go-live, identify workarounds or overlapping tools, coordinate improvements and track expected benefits.
2. System Administration & Access Governance
- Perform or coordinate approved functional administration, including business-user setup, role requests, master data and application settings. IT or the service provider retains technical administration, identity management and infrastructure.
- Maintain access documentation with business owners and IT. Apply least privilege and segregation of duties; ensure privileged or emergency access is authorised, logged and independently reviewed.
- Coordinate joiner, mover and leaver changes on approved requests. Arrange periodic access reviews with owners and IT, track remediation and retain evidence.
- Log and coordinate impact assessment, testing and implementation of configuration changes after business-owner and IT approval.
- Coordinate business-system continuity and recovery exercises with IT, owners and service providers. Track actions; IT remains responsible for technical backup and recovery controls.
3. Policy-to-Process Digitisation & Automation
- Work with process owners to assess and improve current processes, then translate approved policies, procedures and DoA requirements into controlled workflows. Owners approve process design and controls.
- Configure, build or coordinate approved forms, approvals, requests and escalations using Microsoft 365, Power Platform, SharePoint, DocuSign and business-platform workflows, subject to IT standards.
- Identify opportunities to automate follow-ups and overdue alerts through approved systems, with clear views of pending actions and service levels.
- Ensure every digitised workflow has a named owner, controlled access, approved documentation, a support route and an up-to-date SOP.
4. Departmental Solution Coordination
- Facilitate requirements workshops with the business, IT and vendors. Confirm an owner, document requirements and expected outcomes, and coordinate delivery through business acceptance.
- Coordinate approved system and workflow initiatives across client and its subsidiaries, aligned with the agreed digital roadmap and clear business ownership.
- Maintain a prioritised initiative register covering value, urgency, risk, dependencies, effort and status. Escalate priority or resource conflicts to the Risk and Compliance Manager.
- Coordinate integration requirements with IT, vendors and data owners; document data flows, interface responsibilities, error handling and monitoring with the technical owner.
- Coordinate vendor deliverables, documentation, knowledge transfer and acceptance with the business owner and IT.
5. Data Governance, Security & IT Coordination
- Coordinate early review of data ownership, privacy, cybersecurity, integrations, retention,
vendor access, backup, continuity and support with business owners, IT, Legal and Compliance.
Track required approvals; each function retains its control responsibilities.
6. Governance & Segregation of Duties
- Implement access or configuration changes only after business-owner approval and required IT review. Designated control owners perform independent reviews; Internal Audit provides assurance, not operational approval.
- Support procurement in preparation of technical requirements for related vendor, supports evaluation and validates deliverables against approved acceptance criteria
7. Change Management, Training & Adoption
- Coordinate readiness, communications, training and feedback with business owners.
- Coordinate SOPs, user guides, training and departmental super-users. Route technical issues to IT/vendors and process questions to owners.
