About the role
We are looking for a reliable, detail-focused person to support one of our Litigation Directors with audio typing, document preparation and day-to-day administration duties.
A significant part of this role involves listening to recorded dictation and accurately typing the Director’s words into letters and legal documents. Excellent typing, spelling, grammar and punctuation are essential, along with the concentration needed to produce accurate work consistently. You will work closely with the Director, following specific instructions, established processes and preferred document formats. This role will suit someone who enjoys clear direction and takes pride in completing tasks carefully and as requested.
Previous legal or audio typing experience is not required. You will receive training in our systems, processes and legal administration tasks, supported by an experienced team. If you thrive in a busy environment and are looking for a structured position where you can bring a professional, calm and diligent work ethic, then this role could be for you.
This role will involve:
- Typing recorded dictation accurately, preserving the Director’s wording and checking any unclear passages.
- Managing electronic documents, scanning, opening client files and preparing engagement letters using templates.
- Assisting with meeting arrangements, billing, reporting and client identification requirements.
- Creating, formatting and checking letters and legal documents.
- Providing basic computer assistance to the Director and completing other administrative tasks as directed.
- Support with AML/CFT obligations.
- Reception and team cover, as required.
About you
The right candidate will need to have:
- Fast, accurate typing and excellent spelling, grammar and punctuation.
- Strong listening skills and attention to detail.
- The ability to follow detailed instructions and apply feedback consistently.
- Confidence using Microsoft Word and Outlook, with a willingness to learn other systems.
- An organised approach and the ability to complete assigned work within agreed deadlines.
- A reliable work ethic and a professional, respectful manner.
- Discretion when handling confidential client information.
- Experience with dictation or audio typing would be helpful but is not essential.
- Prior New Zealand work experience is desired
- Prior experience in a law firm or professional office would be an advantage but is not essential.
- The ability to work under pressure, hit the ground running, and learn as you go
- A professional and courteous manner when communicating with clients and colleagues.
