Dispatch Coordinator

Our client has exclusively engaged us to find their next Dispatch Coordinator. This is an almost 50 year old, family-owned leader in logistics. They specialize in warehousing, inventory management, and tailored supply chain solutions.

Position Summary

The Dispatch Coordinator supports our trucking department by handling scheduling, data entry, and administrative work. Working under the direction of the Fleet Operations Manager, this person turns driver schedules and load plans into booked appointments, accurate system records, and completed paperwork. The Supervisor makes the dispatch decisions, and the Dispatch Coordinator makes sure they’re carried out accurately and on time.

Key Responsibilities

• Enter driver schedules, load assignments, and delivery information into the company system as directed
• Make pickup appointments at port terminals
• Schedule pickups and deliveries for internal and external customers under the Fleet Operations Supervisor’s direction
• Prepare, track, and file trucking paperwork, including bills of lading, delivery receipts, and driver documents
• Provide general administrative support to the trucking department
• Communicate with drivers, customers, and terminals to confirm appointments and share updates

Qualifications

• Strong organization and attention to detail
• Comfortable with data entry and learning new software
• Clear, professional communication by phone and email
• Able to handle multiple schedules and priorities in a fast-paced setting
• Working knowledge of Microsoft Office (Outlook, Excel)
• Entry-level candidates are welcome; experience in dispatch, logistics, or transportation is preferred
