Dispatch Executive

Role & responsibilities

• Receive finished goods from production (slitting / pouching / lamination) into the FG store and verify roll / reel count, weight and quality tags against production and ERP records.
• Stack and store rolls, reels and cartons correctly to prevent damage telescoping, crushing, edge damage, contamination or moisture and maintain clear, labelled aisles.
• Follow FIFO / batch discipline so older stock and correct lot numbers are dispatched first.
• Pick and stage goods against sales orders / delivery notes; confirm grade, size, print job and quantity before loading.
• Supervise loading and unloading of trucks / containers ensure safe handling of labour and correct stacking pattern inside the vehicle to maximise space and eliminate transit damage.
• Manage and coordinate with local drivers and loading / unloading labour — allocate work, ensure discipline and safe practices, resolve day-to-day issues, and get the job done on time while maintaining a good working relationship.
• Post all transactions in ERP accurately and on time — goods receipt, goods issue / dispatch, stock adjustments — and generate delivery notes, gate passes and dispatch documents.
• Coordinate daily with Production, Sales, Logistics, Security / Gate and (for exports / bonded stock) the clearing team.
• Receive and record sales returns, rejected and damaged goods — verify quantity / weight against the return note, segregate and store separately, raise the return / rejection entry in ERP, and route to QA / rework / scrap as decided.
• Maintain dispatch registers and gate-pass records; reconcile physical stock with ERP and support periodic and year-end physical inventory.
• Prepare and circulate daily / weekly / monthly MIS reports — dispatch summary, pending sales orders, FG stock ageing, and damage / rejection reports — to Management, Sales and Production.
• Ensure housekeeping, 5S and safety standards in the FG dispatch area.

MIS & Reporting

• Daily Dispatch MIS — goods dispatched, quantity / weight, vehicle / container details and delivery note numbers.
• Pending sales order / open order status against FG availability.
• FG stock report with ageing and FIFO status; slow-moving and non-moving stock highlights.
• Loading / unloading and labour utilisation report.
• Damage, rejection and short-supply report with reasons and corrective action.
• Monthly reconciliation of physical stock vs. ERP with variance analysis.

Preferred candidate profile

• Hands-on knowledge of loading, unloading and proper stacking of goods (packaging rolls / reels experience preferred).
• Working experience on an ERP system (SAP / Oracle / Tally / any inventory & dispatch module) — comfortable with goods receipt, goods issue, sales returns / rejection entries and stock reports.
• Good working knowledge of MS Excel for MIS / reporting (formulas, pivot tables, filters) and email.
• Strong attention to detail, numerical accuracy and physical fitness for a warehouse environment.
• Ability to manage and get work done from local Ghanaian drivers and loading / unloading labour — firm, fair and effective in day-to-day dealings.
• Good spoken English; local language an added advantage.
