JD Dispatch Executive (CHA Operations)

• Shipment Documentation

• Prepare and verify shipping/dispatch documents, invoices, packing lists, e-way bills, shipping bills, and other required documents.

• Ensure documents are complete and error-free before dispatch.

• CHA Coordination

• Coordinate with the CHA for customs clearance, shipping bill filing, examination, assessment, and release of shipments.

• Provide required documents and information to the CHA on time.

• Dispatch Planning & Execution

• Plan daily dispatches according to customer orders, vehicle availability, and shipment schedules.

• Ensure timely handover of cargo to transporters/CHA.

• Customs Clearance Follow-up

• Track the status of shipments under customs clearance.

• Follow up on queries, examination requirements, duty payments, and cargo release.

• Transporter Coordination

• Coordinate with transporters for vehicle placement, loading, delivery, and proof of delivery.

• Monitor vehicle movement and delivery timelines.

• Shipment Tracking

• Maintain shipment-wise records and continuously track cargo until final delivery.

• Escalate delays, documentation issues, or customs-related problems.

• Record Maintenance

• Maintain dispatch registers, shipment files, CHA correspondence, delivery documents, and clearance records.

• Ensure proper filing and easy retrieval of documents.

• Compliance

• Ensure dispatch activities follow company procedures and applicable customs, GST, and logistics requirements.

• Check that mandatory documents are available before movement of goods.

• MIS & Reporting

• Prepare daily/weekly reports on dispatches, pending shipments, customs clearance, deliveries, and delays.

• Update management on shipment status and exceptions.
