Dispatch Incharge Automotive Component

We are looking for an experienced Dispatch In charge from the Automotive Components industry to independently manage customer-wise dispatch planning, finished goods coordination, transporter management and customer delivery requirements.

The role involves coordination between Customers, Production, WIP, Quality, Stores and Transporters to ensure timely and accurate dispatch of automotive components.

The candidate should be comfortable managing multiple customers, multiple part numbers/SKUs and daily dispatch requirements in a fast-paced B2B manufacturing environment.

Roles & Responsibilities

Customer-wise Dispatch Planning

• Prepare and execute daily customer-wise dispatch plans based on customer requirements/schedules.
• Monitor pending customer requirements and ensure timely dispatch.
• Prioritize dispatches based on customer requirement, material availability and delivery commitments.
• Coordinate with customers regarding dispatch schedules, quantities and delivery requirements.
• Ensure maximum possible on-time delivery to customers.

Production / WIP / Quality Coordination

• Coordinate closely with Production, WIP, Quality and Stores to ensure required material is available for dispatch.
• Provide Production with the customer-wise pending/dispatch requirement plan.
• Track production status against dispatch requirements.
• Follow up on WIP and Quality clearance of material required for urgent/customer-specific dispatches.
• Escalate shortages, delays or quality holds affecting dispatch.

Finished Goods & Part Management

• Manage customer-wise finished goods availability.
• Maintain accurate records of approximately 200+ rubber component part numbers/SKUs.
• Ensure correct part number, quantity, packaging and customer-specific requirements before dispatch.
• Avoid wrong-part, short-quantity and excess-quantity dispatches.

Transporter Management

• Coordinate with transporters for vehicle placement and dispatch scheduling.
• Maintain transporter database and performance records.
• Coordinate freight/transport-related requirements.
• Ensure timely vehicle placement according to dispatch plan.
• Follow up on material movement and delivery status.

Dispatch Documentation

• Coordinate dispatch documentation including:

• Invoice

• E-way Bill

• LR / Transport documents

• Packing list

• Customer-specific documents

• Ensure dispatch documents are accurate before vehicle departure.

Customer Receiving / POD

• Follow up with customers for material receiving confirmation / POD.
• Track shortages, excesses, damages or other receiving discrepancies.
• Coordinate with customers and internal teams for timely resolution.
• Maintain customer-wise dispatch and receiving records.

MIS & Reporting

• Prepare daily dispatch reports.

• Dispatch achieved

• Pending dispatch

• Customer-wise pending quantity

• Vehicle status

• Delivery status

• POD/receiving status

• Provide management with accurate dispatch status and pending requirements.

Process Improvement

• Improve dispatch planning and reduce dispatch delays.
• Minimize wrong/short/excess dispatches.
• Improve transporter utilization and vehicle planning.
• Maintain proper 5S and discipline in the dispatch/FG area.
