Dispatcher / Admin Support

Job Summary:
We are a growing home services company that wants a dependable and personable Dispatch Coordinator to be the friendly first point of contact for our customers. In this role, you'll take incoming calls, schedule and dispatch jobs, and keep daily operations moving through our field-service software. We want someone with excellent spoken English, a warm and confident phone presence, and the drive to turn every inquiry into a booked appointment — with real room to take on more responsibility as you grow with us.

Key Responsibilities:

• Take incoming customer calls professionally and turn inquiries into scheduled appointments
• Create, update, and dispatch jobs in our field-service management system (Workiz)
• Coordinate schedules between customers and field technicians throughout the day
• Prepare and send estimates and invoices accurately and on time
• Follow up with customers on quotes, appointments, and outstanding items
• Reply to customer messages via text and messaging apps promptly and warmly
• Check in with technicians to confirm job details, timing, and closings
• Keep customer and job records organized and current
• Lend a hand on light administrative tasks as needed to keep operations running smoothly

Mandatory Skills:

• Excellent spoken and written English with a clear, neutral, customer-friendly phone manner
• Proven experience in dispatching, appointment setting, or phone-based customer service
• Confidence handling inbound and outbound calls and closing/booking appointments
• Comfortable learning and working within a field-service CRM (Workiz or similar)
• Strong organizational skills and attention to detail
• Dependable, detail-focused, and able to work independently
• Strong communication skills and a proactive, customer-first attitude

Preferred Skills:

• Experience with Workiz, CallRail, or similar dispatch/CRM and call-tracking tools
• Background supporting a home services, field-service, or trades business (e.g., HVAC, plumbing, garage door, or locksmith)
• Familiarity with preparing and sending estimates and invoices
• Interest in picking up marketing and content tasks (social posts, Google Business Profile, review responses) as the role expands
• Comfortable using AI tools like ChatGPT to draft and refine content
• Able to handle multiple tasks and priorities at once
