Position Overview
We are seeking an experienced Document Control Specialist II to support process documentation, document management, and continuous improvement initiatives.
The ideal candidate will have hands-on experience developing and updating Standard Operating Procedures (SOPs), creating process maps using Microsoft Visio, and collaborating with cross-functional stakeholders and Subject Matter Experts (SMEs).
This position requires someone who can independently facilitate working sessions, organize stakeholder feedback, translate existing business processes into clear documentation, and ensure documents are accurate, approved, and properly maintained.
Candidates must have experience actively creating and updating process documentation, not solely managing document repositories or document lifecycles.
Key Responsibilities
- Develop, review, and update Standard Operating Procedures (SOPs), process maps, job aids, work instructions, and other process documentation.
- Create and maintain process maps and workflow diagrams using Microsoft Visio.
- Facilitate workshops and working sessions with cross-functional teams, business stakeholders, and Subject Matter Experts (SMEs).
- Collaborate with document owners and stakeholders to understand existing processes and accurately document workflows.
- Gather stakeholder input, incorporate feedback, and ensure documentation aligns with approved processes and organizational requirements.
- Coordinate document reviews and obtain necessary approvals and sign-offs to ensure accuracy.
- Update, revise, and republish approved documentation within the organization's document management system.
- Maintain document version control, numbering, review schedules, publication, archival, and cancellation activities.
- Ensure controlled documents remain current, accurate, organized, and compliant with established documentation standards.
- Track documentation status, outstanding reviews, and approvals while managing competing priorities.
- Support audit readiness by maintaining accurate documentation records.
- Communicate documentation requirements, review deadlines, and updates to appropriate stakeholders.
- Identify opportunities to improve documentation clarity, consistency, and usability.
Required Qualifications
- Minimum of 3 years of experience in process documentation, document control, business process improvement, or a related field.
- Hands-on experience creating, reviewing, and updating SOPs and process documentation.
- Proficiency in Microsoft Visio , including independently creating and maintaining process maps and workflow diagrams.
- Experience facilitating workshops and working sessions with cross-functional stakeholders and SMEs.
- Demonstrated ability to incorporate stakeholder feedback into accurate, organized documentation.
- Experience collaborating with multiple departments and stakeholders to ensure documentation accuracy.
- Strong organizational skills with the ability to manage multiple documents, deadlines, and priorities.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office applications.
Preferred Qualifications
- Experience developing job aids, work instructions, and process improvement documentation.
- Experience managing controlled documents through review, approval, publication, and revision processes.
- Familiarity with document management systems and document repositories.
- Experience supporting regulated industries, utilities, power generation, transmission, or distribution.
- Experience coordinating documentation reviews and obtaining stakeholder approvals.
