Your role

As a Document Controller, You Will

• Control, register, and distribute all project drawings, specifications, plans, and procedures.
• Organize and maintain structured digital files within specialized Document Management Systems (DMS).
• Respond to formal document requests, revisions, and queries from project staff, clients, and subcontractors.
• Perform quality checks on incoming and outgoing documents to ensure compliance with ISO and customer QA standards.
• Identify, report, and resolve document discrepancies, tracking required corrective actions to completion.
• Provide administrative support, generate status reports, and collaborate with broader project teams to meet delivery deadlines.

Non-negotiables What You Need:

• Document Management System (DMS) Expertise: At least 3 years of hands-on experience using professional document control platforms such as QDMS or InEight Document / TeamBinder (managing documents solely via Excel register downloads will not qualify).
• System Workflow Vetting: Proven capability to clearly articulate and demonstrate deep knowledge of formal document control workflows (e.g., transmittals, workflows, redlines, and revision numbering).
• Engineering & Construction Literacy: Sound working exposure to multi-disciplinary engineering documentation, including Civil, Structural, Mechanical, Piping, and Electrical drawings.
• Data Management & Excel Skills: Advanced MS Excel and computer literacy to organize and audit heavy volumes of technical metadata.
• Communication: Highly competent and confident written and verbal English communication skills for handling stakeholder inquiries.

Preferred Skills/Experience

• Direct document control experience working with a Construction, Engineering, or Maintenance service provider.
• Direct system administration or super-user experience within InEight Document or QDMS.
• Familiarity with ISO 9001 quality management principles.
• Strong problem-solving skills to independently resolve document indexing bottlenecks and transmission errors.
