Document Controller

About the role

CVJR Builders is seeking an experienced and detail-oriented Document Controller to join our growing team in Silang, Cavite. This is a full-time position that plays a crucial role in ensuring the seamless management of all project documentation and records across our construction operations. As Document Controller, you will be responsible for maintaining the integrity, accuracy, and accessibility of all project documents, from initial planning through to project completion. This position is essential to our quality assurance and control processes, supporting compliance, accountability, and operational efficiency across all construction projects.

Working knowledge of the Philippine Government Electronic Procurement System (PhilGEPS) is highly desirable and will be considered a significant advantage

Key responsibilities

• Organizing, filing and maintaining all project documentation in both physical and digital formats according to established protocols and standards
• Creating and updating document filing systems, ensuring easy retrieval and accessibility for all relevant stakeholders
• Tracking document versions and revisions to maintain a comprehensive audit trail of all changes and approvals
• Distributing documents to appropriate project teams, contractors and stakeholders in a timely manner
• Verifying that all documents are complete, accurate and comply with project requirements and regulatory standards
• Liaising with project managers, engineers and quality teams to ensure documentation requirements are met and updated
• Maintaining detailed records of all document submissions, approvals, and status updates
• Preparing regular reports on document status and identifying any gaps or outstanding items
• Ensuring compliance with company policies, contractual requirements and relevant construction regulations
• Supporting the quality assurance and control team by providing accurate and timely documentation for audits and inspections

What we're looking for

• Proven experience as a Document Controller, preferably within the construction or engineering industry
• Strong organizational and filing skills with meticulous attention to detail
• Proficiency in document management systems and software, including Microsoft Office applications
• Understanding of construction project documentation requirements and regulatory compliance standards
• Excellent communication skills and ability to liaise effectively with multiple stakeholders across different levels
• Ability to work independently whilst maintaining collaborative relationships with project teams
• Strong time management capabilities with the ability to prioritize multiple tasks and meet deadlines
• Knowledge of quality assurance and control procedures in construction is highly desirable
• Experience with digital document management systems or Building Information Modelling (BIM) documentation is a plus
• College diploma or equivalent; certification in document management or quality assurance is preferred
