Job Summary

We are seeking a detail-oriented Document Controller to manage the creation, control, distribution, and archiving of production, quality, and safety documents at our battery manufacturing facility. The ideal candidate will have hands-on experience maintaining an Integrated Management System (IMS) compliant with ISO 9001 (Quality), ISO 14001 (Environmental), and ISO 45001 (Occupational Health & Safety), ensuring traceability, version control, and audit readiness across production operations.

Key Responsibilities

  • Maintain and administer the document control system for all production-related documents: SOPs, work instructions, quality control forms, production records, checklists, and process specifications.

  • Manage document lifecycle — drafting, review, approval, issue, revision, and withdrawal — in line with ISO 9001, 14001, and 45001 requirements.

  • Maintain document numbering, revision status, and change history to ensure full traceability of production and QHSE documents.

  • Ensure only current, approved versions of documents are available at production workstations; retrieve and archive obsolete documents promptly.

  • Coordinate document review and approval cycles with Production, Quality, and QHSE (Environmental/Safety) teams.

  • Maintain the master document list/register and distribution logs for the Integrated Management System (IMS).

  • Support internal and external ISO audits (9001/14001/45001) by ensuring documents and records are complete, current, and easily retrievable.

  • Maintain quality and QHSE records: inspection reports, non-conformance reports, corrective/preventive actions (CAPA), incident reports, environmental monitoring records, and training records.

  • Assist in the preparation, formatting, and control of new SOPs and work instructions as production processes are introduced or updated.

  • Train production staff and supervisors on document control procedures and proper use of controlled documents.

  • Track and report document review/revision due dates and follow up with document owners to prevent overdue reviews.

  • Support continual improvement of the IMS by flagging documentation gaps or inconsistencies.

  • Ensure compliance with safety, environmental, and regulatory requirements related to battery manufacturing.

  • Assist in supplier quality management, including supplier audits and incoming quality control.
