Your Role As a Document Controller , you will:

• Draft and amend complex site operator agreements, including CA/Dealer contracts, car wash licenses, loans, and deeds of guarantee.
• Conduct mandatory compliance checks and background verifications, including ASIC company lookups, ABN searches, and police or visa checks.
• Manage the lifecycle of Bank Guarantees and Petrol Bonds, including authenticity verification, safe custody filing, and monitoring expiry dates for renewals.
• Maintain the Safe Custody Database, ensuring all original physical and digital documents are scanned, backed up, and protected from unauthorized access.
• Coordinate the "Changeover Day" process by ensuring all commercial terms are verified and documents are ready for execution by directors or the COO.

What You Need Non-negotiables

• Minimum 5 years of experience in document control, legal administration, or a high-compliance corporate environment.
• Formal legal qualifications or professional experience working within a legal department or law firm.
• Advanced proficiency in Microsoft Word and Excel, with specific expertise in version control and electronic document management systems (EDMS).
• Demonstrated experience in drafting and amending formal legal instruments, deeds, and disclosure documents.
• Exceptional attention to detail with the ability to perform regular audits and reconciliations of securities and legal files.

Preferred Skills/expertise

• Hands-on experience establishing and operating DocuSign as a primary document management and execution solution.
• Familiarity with Australian business regulatory bodies and search tools (ASIC, ABN, and debt check protocols).
• Proven ability to manage "Safe Custody" protocols for physical financial securities and bank guarantees.
• Experience in process writing to create or update standardized document control procedures for the organization
