Key Responsibilities
Document Control Management: Record, track, and archive all incoming and outgoing documents (including engineering drawings, blueprints, specifications, contracts, and quality manuals).
Version Control: Ensure that only the most current, approved revisions of documents are available to the production, engineering, or project teams, and safely archive obsolete versions.
Data Entry Indexing: Maintain a centralized Electronic Document Management System (EDMS) or master tracking list with accurate metadata (document numbers, titles, revision dates, and approval status).
Distribution Tracking: Manage the distribution of internal and external documentation to various departments, vendors, and clients, ensuring proper sign-offs and receipts.
Quality Compliance: Audit document files regularly to ensure compliance with company quality standards, standard operating procedures (SOPs), and external regulations (like ISO 9001).
Support Training: Assist team members in locating specific files or records, and train staff on proper document creation and formatting guidelines.
