What they need

Document Controller

InSite are looking for a Document Controller on a fixed term basis (12 months) to join our growing team in Pembroke Dock. This is an excellent opportunity to play a key role in managing the documentation that supports complex engineering and design projects across the Oil & Gas, LNG, Nuclear and Renewables sectors. Full-time and part-time applications are welcomed.

The Role:

As a Document Controller, you’ll be responsible for maintaining accurate records of project documentation and ensuring consistent standards across all engineering projects. You’ll manage our Document Management System (DMS), ensuring that the information is properly stored, tracked and distributed across teams and clients.

In addition to your core document control duties, you’ll also provide support with cost tracking, invoicing, timesheet reporting, and other system-based activities that help keep our projects running efficiently.

This role will suit someone with strong attention to detail, excellent organisation skills, and an interest in supporting wider project and business control activities. This is a great opportunity for someone looking to develop a broader skillset within a dynamic, multidisciplinary consultancy.

Key Requirements:

· Minimum of 5 GCSEs (Grade C or above) including English and Maths, or equivalent.

· Previous experience in an engineering or technical project environment is desirable but not essential.

· Proficient in Microsoft Office (Excel, Word, Outlook).

· Experience using a Document Management System (DMS) (e.g. SharePoint, Aconex, or similar) though full training will be provided.

· Strong organisational skills and excellent attention to detail.

· Ability to handle multiple priorities and work deadlines.

· Willingness to learn and support a variety of business processes.

Key Responsibilities:

· Manage the flow of documentation across engineering and project teams.

· Ensure documents are accurate, properly formatted, and stored according to company standards.

· Maintain internal and external document numbering systems and version control.

· Coordinate document distribution and ensure timely updates to project teams.

· Track and report documentation status to help identify and resolve delays.

· Support activities including cost reporting and invoicing.

· Provide system administration support for internal tools (e.g. time entry, cost tracking).

· Build and maintain strong working relationships with both internal teams and external stakeholders.

· Carry out additional duties consistent with the scope, responsibilities, and level of role, as required.
