Document Controller (Facilities Space Coordinator)

Responsibilities

• Maintain and validate space inventory, floor plans, and occupancy records within the Space and Infrastructure Management System (SIMS).
• Track workspace assignments, relocations, and organizational changes to ensure data accuracy and campus-wide visibility.
• Coordinate and administer space allocation requests in alignment with established governance frameworks, supporting evaluations and tracking approved changes.
• Ensure the completeness, integrity, and security of digital occupancy assignments, allocation details, and space inventory records.
• Liaise with research institutes, business units, corporate offices, and facilities teams to coordinate updates arising from renovations, relocations, and infrastructure projects.
• Maintain thorough documentation of approved space allocations and personnel assignments to support audit requirements and internal governance.

Requirements

• Degree in Facilities Management, Architecture, Engineering, Real Estate, Urban Planning, Business Administration, or related.
• Experience in space planning, facilities management, campus planning, infrastructure management, or workplace management, preferably within research and healthcare
• Experience managing space inventory systems, CAFM/IWMS platforms, or digital space management tools will be advantageous
• Proficient in Microsoft Office applications, particularly Excel and PowerPoint; familiarity with CAD drawings, BIM platforms, or space management software is an advantage.
