Documentation Executive

Role & responsibilities

• Handle online shipment bookings with shipping lines and freight forwarders.
• Prepare and submit Shipping Instructions (SI) and Verified Gross Mass (VGM) within stipulated deadlines.
• Coordinate with customers, shipping lines, and internal teams for shipment-related activities.
• Prepare and share Daily Shipment Reports (DSR) with customers regularly.
• Manage export and import documentation and ensure accuracy of shipment details.
• Track shipment status and provide timely updates to customers.
• Follow up on shipping line confirmations, documentation, vessel schedules, and shipment updates.
• Maintain proper records of bookings, shipping documents, and customer communications.

Preferred candidate profile

• Experience: Minimum 1 year in International Logistics / Freight Forwarding / Documentation / Operations.
• Education: Graduate in any discipline.
• Communication: Good verbal and written communication skills.
• Technical Skills: Basic knowledge of MS Excel, MS Office, and online shipping portals.
• Core Skills: Customer coordination, documentation accuracy, follow-up, time management, and problem-solving.
• Industry Knowledge: Understanding of online bookings, SI, VGM, DSR, and international shipment procedures.
