Documentation Executive (freight forwarding)

Job highlights

• Experience in freight forwarding with expertise in SEA Freight documentation and Bill of Lading processing
• Manage timely and accurate data inputs, coordinate SI and BL filings, handle customer queries, and ensure compliance with documentation and internal controls

Role & responsibilities

KEY RESPONSIBILITIES

• Data Inputs into the system on time.
• Filing SI with liners before cutoff timings. Accuracy of data inputs at 100 %.
• SI corrections once received from shipper and changes in MBL according to HBL.
• Sending HBL MBL Drafts to Overseas Agent for approval.
• Scrutinizing HBL MBL with supporting documentation.
• AMS Filing & ISF to customer / agent prior to vessel sailing & get ISF filing confirmation.
• BL to be released from liner within 5 working days to avoid late bl charge
• Respond to customer queries immediately
• All the mails should be responded before close of day Releasing MBL and HBL
• Payment follow up with accounts.
• Follow up with runner boys for releasing Line BL / Co-load BL & handover docs.
• Preparing switch bl in manual BL format & sending for customers approval & get released bl once approved.
• Sending Manifest to agents within stipulated time frame
• Understand customer profile and study KYC. Educate customers on Documentation requirements.
• Adhere to process guidelines and Internal controls.
• Co-ordination with CS & Docs Team for the Teamwork job.
• Check for hazardous or special cargo formalities.
• Generate the Final Bill of Lading.
• Forward final Bill of Lading to the Finance for generating Invoice.
• Issue the Bill of Lading after confirmation of receipt of payment and final approval by the authorized signatory, who checks the details.
• For ICD locations, check the B/L data and raise the Invoice online.
• Receive B/L data from the ICD locations and input data
