About the role

Responsible for validating and timely transmitting all delivered invoices, while monitoring and initiating corrective actions for any un-transmitted documents.

Key responsibilities

• Retrieve invoices before reprinting or reinvoicing
• Ensure completeness of attachments (trip tickets, DRs, COD checks, GRS) before forwarding to Treasury for collection
• Encode and monitor backloads and RUDs in SAP and safekeeping reports
• Coordinate monthly reconciliation of Reinvoice Site balances with OMG and Inventory
• Investigate and escalate discrepancies for adjustment approval
• Prepare and issue Claim Letters for hauler deductions
• Assist in preparing billing support documents (SOA, Debit Notes, Affidavits of Loss)
• Monitor timely return of signed invoices and trip tickets
• Verify that the invoice matches the trip ticket and follow up with the hauler if there are any discrepancies or missing documents
• Ensure proper documentation and adjustment of RUDs, including coordination with haulers and CSR

Qualifications

• Graduate of Bachelors degree. Relevant master’s degree, an advantage.
• At least 2-years working experience of any business entities
• Product knowledge
• Basic arithmetic concepts
• Basic understanding of policies and procedures
• Basic warehouse procedure and process
• Understanding of RUD and Reversal processes and their impact on financial documentation and reporting
• Proficiency in Microsoft Word, Excel
• Proficiency in SAP is preferred and considered an advantage
