Documentation Supervisor

Key tasks & responsibilities:

• Supervise and coordinate the workload of the Documentation Officer team.

• Manage your own portfolio of documentation submissions

• Oversee preparation, review, and submission of Shipping Instructions and Sea Waybills for all assigned shipments.

• Validate SWBs against booking details and shipping instructions before release to customs agents.

• Act as the primary liaison with customs on document handoffs and requirements.

• Monitor documentation cut-off deadlines and ensure the team meets all submission windows.

• Review team output for accuracy and manage error correction processes with carriers.

• Act as first escalation point for documentation errors, discrepancies, or carrier rejections.

• Maintain and update documentation SOPs in line with regulatory and operational changes.

• Support training and onboarding of new Documentation Officers.

• Report documentation KPIs and exception trends to the Head of Operations.

Qualifications:

• Minimum 4 years of experience in ocean freight documentation within a freight forwarding or shipping environment.

• Strong working knowledge of SI preparation, SWB issuance, and customs documentation requirements.

• Experience in a supervisory or team lead capacity.

• Understanding of the role boundary between CSA documentation responsibilities and customs agent responsibilities.

• Fluent in Thai and English with strong written communication skills.

• Experience working with documentation systems or equivalent carrier platforms.

• Familiarity with Health Certificates, Certificates of Origin, and other trade compliance documents.

• Knowledge of Thai customs regulations and port documentation requirements.
