The E-Commerce Associate is responsible for supporting the daily operations of the company's online sales channels, including order processing, product listing management, inventory monitoring, customer service coordination, and fulfillment tracking.

The role ensures that customer orders are processed accurately and promptly, inventory releases follow approved allocations, and online transactions are properly documented. The position also coordinates with the E-Commerce Supervisor, Warehouse, Logistics, Purchasing, and Customer Service teams to maintain smooth and efficient operations.

KEY RESPONSIBILITIES

1. Online Order Processing

• Process and monitor customer orders received through online marketplaces and other e-commerce channels.
• Ensure accurate encoding, verification, and processing of orders.
• Coordinate with the Warehouse Team to ensure timely picking, packing, and dispatch of orders.
• Monitor order status and follow up on pending, delayed, or incomplete orders.
- Ensure that all transactions are processed according to established company procedures.

2. Inventory Monitoring and Allocation

• Monitor product availability and inventory levels across online selling platforms.
• Ensure that order releases follow approved inventory allocations and available stock.
• Coordinate with the Warehouse and Inventory Teams regarding stock discrepancies and product availability.
• Report potential stockouts, over-allocation, and inventory concerns to the E-Commerce Supervisor.
• Help prevent over-releasing, duplicate processing, and incorrect order fulfillment.

3. Online Marketplace Management

• Maintain accurate product listings, descriptions, images, prices, and promotional details.
• Update product availability and information across platforms such as Shopee, Lazada, and TikTok Shop, as applicable.
• Monitor online orders, cancellations, returns, and other marketplace transactions.
• Assist in implementing online promotions, campaigns, and special selling events.
• Ensure compliance with marketplace policies and company guidelines.

4. Customer Service Coordination

• Assist in responding to customer inquiries regarding product availability, order status, and delivery concerns.
• Coordinate with the Customer Service Team to address complaints, cancellations, returns, and order discrepancies.
• Provide timely updates on order status and fulfillment concerns.
• Help ensure a positive customer experience across all online sales channels.

5. Warehouse and Logistics Coordination

• Coordinate with Warehouse and Logistics regarding order preparation, dispatch schedules, and delivery status.
• Monitor shipment tracking and identify delayed or unsuccessful deliveries.
• Report incorrect, incomplete, damaged, or missing items to the immediate supervisor.
• Ensure proper documentation and recording of order releases and dispatch transactions.

6. Documentation and Reporting

• Maintain accurate records of online orders, inventory movements, cancellations, and returns.
• Prepare daily or periodic reports on order volume, fulfillment status, and operational concerns.
• Assist in monitoring sales performance and marketplace activity.
• Ensure that all order documents and transaction records are complete and properly maintained.
• Perform other related duties as assigned by the immediate supervisor.

QUALIFICATIONS

• Bachelor's degree in Business Administration, Marketing, Information Technology, or a related field.
• At least 1 year experience in e-commerce or online selling is an advantage.
• Familiarity with Shopee, Lazada, TikTok Shop, or other online marketplaces is preferred.
• Knowledge of order processing, inventory monitoring, and basic customer service is an advantage.
• Proficient in Microsoft Office applications, particularly Excel.
• Strong attention to detail and accuracy in handling orders and records.
• Good communication, organizational, and coordination skills.
• Willingness to learn and work in a fast-paced environment.
• Responsible, proactive, and capable of managing multiple tasks.
• Able to work effectively with different departments to meet operational deadlines.

Job Type: Full-time

Pay: Php21,000.00 - Php22,000.00 per month
