E-commerce Operations Associate

We are looking for a detail-oriented and proactive E-commerce Operations Associate to manage the day-to-day operations of our online store. The candidate will be responsible for processing customer orders, coordinating deliveries, managing inventory, handling customer inquiries, updating product listings, and ensuring smooth order fulfillment.

The ideal candidate should be comfortable working with e-commerce platforms, order management systems, courier services, and digital communication tools.

Key Responsibilities

1. Order Management

• Monitor incoming orders from the website and other online sales channels.
• Verify customer details, product availability, and payment status.
• Process, pack, and dispatch orders on time.
• Coordinate with courier companies for shipment bookings, tracking, and delivery issues.
• Monitor returned, cancelled, and undelivered orders.

2. Inventory Management

• Maintain accurate inventory records.
• Monitor stock levels and report low-stock products.
• Coordinate with the warehouse or purchasing team for replenishment.
• Track damaged, missing, returned, and exchanged products.

3. Customer Support

• Respond to customer inquiries through WhatsApp, email, phone, and social media.
• Handle order status requests, complaints, returns, and exchanges.
• Maintain professional communication and ensure a positive customer experience.

4. E-commerce Store Management

• Update product descriptions, prices, images, and availability.
• Manage products and orders through Shopify or other e-commerce platforms.
• Check website functionality, product pages, and checkout issues.
• Assist with promotions, discount codes, and seasonal sales campaigns.

5. Payments and Reporting

• Monitor Cash on Delivery (COD), prepaid orders, and courier remittances.
• Maintain order, sales, return, and delivery records.
• Reconcile courier payments with delivered orders.
• Prepare daily and weekly operational reports.

6. Coordination and Process Improvement

• Coordinate with marketing, warehouse, finance, and customer service teams.
• Identify recurring operational problems and suggest solutions.
• Maintain standard operating procedures (SOPs) for daily operations.
• Use spreadsheets and digital tools to improve accuracy and efficiency.

Required Qualifications and Skills

• Bachelor's degree or relevant diploma in Business Administration, E-commerce, Marketing, or a related field preferred.
• 1–2 years of experience in e-commerce operations or online order management preferred.
• Basic knowledge of Shopify, WooCommerce, or similar platforms.
• Proficiency in Microsoft Excel or Google Sheets.
• Familiarity with Pakistani courier services and COD operations.
• Good written and verbal communication skills.
• Strong organizational skills and attention to detail.
• Ability to multitask and meet daily dispatch deadlines.

• Order processing accuracy.
• Percentage of orders dispatched on time.
• Order delivery success rate.
• Return-to-origin (RTO) and cancellation rate.
• Inventory accuracy.
• Customer inquiry response time.
• Courier payment reconciliation accuracy.
• Daily order reporting accuracy.

Working Conditions

• Full-time, on-site position.

• Salary based on experience, skills, and performance.
