Executive Support Manager
- Right hand to the Director and COO in a national business
- A varied role covering executive support, events, conferences and travel
About Steamatic
Steamatic is a national restoration business that works with franchise owners, branches and insurance partners across Australia. Our Melbourne Head Office supports the whole network, and this role sits at the centre of it.
The role
This is more than an EA role. As Executive Support Manager, you'll work as the right hand to our Director and Chief Operating Officer and support the wider executive team. You'll keep the leadership agenda organised and moving so our leaders can focus on running and growing the business.
You'll be a trusted point of contact for branches, franchisees and external partners, and you'll keep Head Office running smoothly.
What you'll do
- Manage the Director and COO's diary, inbox, correspondence and priorities
- Prepare agendas, papers and presentations for executive and leadership meetings
- Take minutes for Executive, GO, SAFAC and National Sales meetings, and follow actions through to close
- Plan and coordinate national training, including IICRC courses: venues, trainers, attendees and logistics
- Plan and deliver the annual Franchise Conference and other company events, including negotiating with venues and suppliers
- Arrange travel, accommodation and industry event registrations for staff across the business
- Support branches and franchisees with their Head Office requirements
- Manage Head Office supplies, facilities, suppliers and office contracts
- Support special projects as directed by the Director and COO
About you
- Proven experience in a senior EA, executive support or office management role
- Experience coordinating events, conferences, training and travel
- Highly organised, and calm when juggling competing priorities and deadlines
- Excellent writing, including minute-taking and business correspondence
- Comfortable dealing with everyone from technicians to senior executives and franchise owners
- Sound judgement and complete discretion with confidential information
- Confident negotiating with suppliers and keeping costs on budget
- Strong Microsoft 365 skills (Outlook, Word, Excel, PowerPoint, Teams)
- Current driver's licence
Experience in a franchise, multi-site, restoration or insurance environment is highly regarded.
What's on offer
- A senior role with real ownership and variety
- Direct exposure to the executive team and the whole national network
- A role that makes you a pivotal member of the team.
