Ecommerce Billing Executive

About the Role

We are looking for a detail-oriented and analytical E-commerce Billing Executive to manage billing, invoicing, marketplace reconciliation, and settlement-related activities across various e-commerce platforms. The ideal candidate should have a good understanding of billing processes, basic accounting principles, GST, and marketplace transactions, along with strong proficiency in MS Excel.

Key Responsibilities

• Generate, verify, and manage invoices for e-commerce orders.
• Reconcile orders, sales, payments, returns, cancellations, refunds, and deductions across marketplaces.
• Review marketplace transactions and identify billing or settlement discrepancies.
• Ensure accurate and timely processing of invoices and billing entries.
• Monitor marketplace settlements and coordinate for timely payment processing.
• Maintain accurate billing records, supporting documents, and transaction data.
• Prepare and maintain daily, weekly, and monthly billing and reconciliation reports.
• Coordinate with Accounts, E-commerce Operations, Warehouse, and Customer Service teams to resolve billing-related issues.
• Handle GST and other tax-related billing entries as applicable.
• Track and verify marketplace deductions, commissions, shipping charges, TCS/TDS, returns, and other applicable adjustments.
• Support month-end closing activities and provide necessary billing and reconciliation data to the Accounts team.
• Ensure proper documentation and filing of invoices and other billing-related records.
• Perform other billing and reconciliation activities as assigned by the reporting manager.

Required Skills & Competencies

• 13 years of relevant experience in e-commerce billing, invoicing, reconciliation, or accounts.
• Hands-on experience with e-commerce marketplaces such as Amazon, Flipkart, Myntra, etc.
• Strong knowledge of billing, invoicing, and basic accounting principles.
• Good understanding of GST and e-commerce taxation.
• Proficiency in MS Excel, including VLOOKUP/XLOOKUP, Pivot Tables, filters, sorting, and basic formulas.
• Experience with ERP/accounting software such as Tally, BUSY, SAP, or similar platforms.
• Strong analytical and reconciliation skills with good attention to detail.
• Ability to work with large volumes of transactional data.
• Good problem-solving and discrepancy-resolution skills.
• Strong coordination and communication skills.
• Ability to manage multiple tasks and meet billing deadlines.

Preferred Qualifications

• Prior experience in marketplace reconciliation and settlement processing.
• Experience handling Amazon/Flipkart/Myntra seller reports and settlement statements.
• Knowledge of marketplace commissions, deductions, returns, refunds, TCS/TDS, and other adjustments.
• Experience in FMCG, retail, D2C, or e-commerce businesses will be an added advantage.
