What they need

Position Summary

This role combines hands-on knowledge of embroidery digitizing with production scheduling, order coordination, and cross-functional communication. You will work hand in hand with our Embroidery Supervisor to ensure jobs are properly prepared, prioritized, scheduled, and communicated before they hit the production floor.

While the Embroidery Supervisor will primarily focus on the people, machines, productivity, quality, and day-to-day execution on the floor, this position will focus on what keeps that production moving: digitizing, scheduling, planning, job readiness, and communication.

This is an ideal role for someone who understands embroidery production but also loves organization, problem-solving, and keeping a fast-moving department several steps ahead.

HPA’S: Top Priorities

  1. Own Embroidery Digitizing & Job Readiness: Ensure embroidery files are accurately

digitized, optimized, tested, and production-ready before reaching the floor, minimizing

rework, downtime, and quality issues.

2. Drive the Embroidery Production Schedule: Build, maintain, and continuously adjust the

embroidery schedule based on due dates, capacity, priorities, and production needs, ensuring

the Supervisor and team always have clear direction on what runs next.

3. Own Order Flow & Communication: Stay ahead of embroidery orders from preparation

through completion, proactively communicating priorities, delays, missing information, and

schedule changes to the Supervisor and appropriate teams.

Why this role is critical to our organization:

Embroidery production moves quickly, and great execution starts long before a garment reaches a machine. Proper digitizing, planning, scheduling, and communication directly impact our quality, productivity, turnaround times, and customer experience. This role creates the bridge between artwork and execution—making sure our embroidery team has the right files, the right priorities, and the right information to produce great work efficiently.

Position Duties:

  • Create, edit, and optimize embroidery files for production.
  • Review artwork and determine the best embroidery approach based on garment, placement,
  • stitch count, size, and production requirements.
  • Make adjustments to improve sew quality, e?iciency, registration, and overall finished
  • appearance.
  • Troubleshoot embroidery and digitizing issues in partnership with the Embroidery Supervisor
  • and production team.
  • Maintain organized embroidery files and technical information for repeat orders.
  • Schedule and maintain the daily and weekly embroidery production schedule.
  • Prioritize orders based on due dates, capacity, job requirements, and operational needs.
  • Coordinate with the Embroidery Supervisor to understand machine capacity, sta?ing,
  • productivity, and potential production constraints.
  • Identify scheduling conflicts, bottlenecks, or potential delays early and communicate them
  • proactively.
  • Adjust schedules as priorities and production conditions change.
  • Serve as a key communication point between Embroidery and other departments involved in
  • getting orders through production.
  • Provide clear updates regarding order status, scheduling, delays, technical issues, and
  • completion expectations.
  • Help ensure rush orders and priority jobs are properly communicated and incorporated into
  • the schedule.

Desired Skills & Experience:

  • Previous embroidery digitizing experience is required.
  • Strong understanding of commercial embroidery production.
  • Experience working with embroidery digitizing software; experience with Wilcom or similar professional embroidery software strongly preferred.
  • Understanding of stitch types, densities, underlay, pull compensation, registration, thread breaks, garment construction, and other factors affecting embroidery quality.
  • Experience scheduling or coordinating work in a production or manufacturing environment strongly preferred.
  • Strong organizational skills with the ability to manage multiple jobs and changing priorities.
  • Comfortable working with production systems, spreadsheets, email, and other administrative tools
  • Strong communication and follow-through.
  • Ability to identify problems before they reach the production floor.
  • Comfortable working in a fast-paced, deadline-driven manufacturing environment.
  • Collaborative mindset and ability to work closely with both production leadership and floor teams.
