What they need
Local educational institution is seeking a highly organized, detail-oriented, and proactive EMS Clinical Coordinator to oversee and coordinate clinical and field internship requirements for students enrolled in our EMS programs.
The Clinical Coordinator serves as the primary point of contact for students regarding their hospital clinicals, ambulance/field ride time, internships, and related clinical requirements. This position is responsible for ensuring that students understand and complete their requirements while maintaining accurate, accessible, and up-to-date records of each student's clinical progress.
A significant component of this position is developing and maintaining strong working relationships with hospitals, ambulance services, fire departments, healthcare facilities, and other clinical partners. The successful candidate will work proactively to identify available clinical and field internship opportunities and ensure that our students have sufficient access to shifts to complete their program requirements within the appropriate timeframe.
This is an in-person position. The Clinical Coordinator must be available to work regularly from the school location in Warwick and be accessible to students and staff throughout the workday.
Key Responsibilities
Student Clinical Coordination
- Serve as the primary point of contact for students regarding hospital clinical, ambulance ride time, field internship, and other clinical requirements.
- Meet with students in person to review clinical requirements, expectations, deadlines, and progress.
- Assist students in identifying appropriate clinical and field internship opportunities.
- Coordinate student schedules and clinical/field shifts with partner agencies and facilities.
- Monitor each student's progress toward completing required clinical and internship hours and experiences.
- Identify students who are falling behind and proactively communicate with them and program leadership.
- Ensure students understand all documentation, scheduling, attendance, and performance requirements associated with their clinical experiences.
- Assist students with resolving scheduling or placement issues that arise during their clinical experience.
- Maintain regular communication with students throughout their clinical/internship placement.
Clinical Documentation & Tracking
- Maintain a centralized, accurate, and up-to-date tracking system for all students assigned to clinical coordination.
- Ensure that student records clearly document placement status, scheduled shifts, completed hours, outstanding requirements, and other relevant clinical information.
- Maintain documentation in a manner that allows authorized staff and program leadership to quickly determine the current status of any student.
- Regularly audit clinical records to identify missing documentation, incomplete requirements, or students who may be at risk of falling behind.
- Ensure clinical documentation is collected, organized, and maintained in accordance with school and applicable program/regulatory requirements.
- Develop and maintain standardized tracking tools, spreadsheets, checklists, and other organizational systems necessary to effectively manage a large student population.
- Provide regular status updates and reports to program leadership.
Clinical Partner & Agency Relations
- Develop, maintain, and strengthen relationships with hospitals, ambulance services, fire departments, clinics, and other clinical partners.
- Serve as a professional representative of the institution when communicating with external clinical partners.
- Maintain regular communication with existing partners to understand availability, scheduling limitations, and student placement capacity.
- Identify and establish new clinical and field internship partnerships when additional student capacity is needed.
- Coordinate agreements, onboarding requirements, documentation, and other administrative requirements associated with new and existing clinical partners.
- Work proactively with partner agencies to identify additional shifts and opportunities for our students.
- Maintain an organized database of clinical partners, contacts, available shifts, placement capacity, and applicable requirements.
- Address partner concerns promptly and communicate relevant issues to school leadership.
Internal Coordination
- Work closely with the Program Director, Dean of the Paramedic Program, administrative staff, instructors, and other personnel to ensure students remain on track.
- Communicate student placement and clinical concerns to appropriate members of leadership.
- Participate in staff meetings and operational planning as needed.
- Assist with improving the institution's overall clinical coordination systems and processes.
- Help develop procedures that make student clinical progress transparent and easily accessible to the broader school staff.
- Provide general administrative and office support as needed, including assisting with student inquiries, maintaining office organization, preparing documents, and supporting day-to-day school operations.
- Assist other members of the school administrative team with time-sensitive projects, student needs, and other operational tasks as needed.

- Proficiency with Microsoft Office products, spreadsheets, Outlook email, and other common administrative technology.
- Ability to work regularly and consistently in person in Warwick, RI.
Preferred Qualifications
- Previous experience in clinical coordination, healthcare education, EMS education, nursing education, allied health education, internship coordination, workforce development, or a related field preferred.

This position requires someone who will take ownership of the clinical coordination process from start to finish. The successful candidate should be the type of person who maintains detailed records, follows up without being asked, notices when something is missing, and can quickly tell leadership exactly where each student stands.
Because this position involves coordinating students, instructors, hospitals, ambulance services, and other clinical partners, communication and follow-through are critical.
