About the role

8Sphere Distribution Corp. is seeking a detail-oriented and organised Encoder/Invoicing Specialist to join our team in Dagupan City, Pangasinan. This is a full-time position that plays a crucial role in our freight and cargo forwarding operations. You will be responsible for accurately inputting shipment data, processing invoices, and maintaining meticulous records that ensure the smooth flow of our logistics operations. This role is essential to our business operations and directly impacts our ability to provide reliable service to our clients.

What you'll be doing

• Accurately encode shipment information, carrier details, and freight charges into the company's logistics management system
• Process and verify invoices from freight carriers and logistics partners to ensure accuracy and compliance with agreements
• Input billing information and prepare invoicing documentation for clients in a timely manner
• Reconcile freight bills and shipping charges against manifests and purchase orders
• Maintain organised and detailed records of all shipments, invoices, and transactions for audit purposes
• Generate reports on freight costs, invoicing trends, and billing discrepancies as required
• Communicate with clients, carriers, and internal teams regarding billing inquiries and invoice clarifications
• Identify and resolve discrepancies in pricing, quantities, and delivery information
• Ensure all invoicing complies with company policies and industry standards
• Support the accounting and finance teams with data entry and documentation requirements

What we're looking for

• Proven experience as an encoder, data entry specialist, or invoicing clerk, preferably in the freight forwarding, logistics, or transportation industry
• Strong proficiency in data entry with the ability to work accurately at speed and maintain a high level of precision
• Competence with logistics management systems and accounting software, or willingness to quickly learn company-specific systems
• Excellent knowledge of Microsoft Excel and other office applications
• Strong understanding of invoicing processes, billing cycles, and freight forwarding terminology
• Outstanding organisational skills with the ability to manage multiple tasks and meet deadlines
• Excellent attention to detail and ability to identify errors or discrepancies
• Professional communication skills and the ability to work collaboratively with diverse teams
• Reliability and commitment to maintaining confidentiality of sensitive business information
• A proactive approach to problem-solving and continuous improvement
