Event Activation Manager

About the role

Legends Bistro Bar & Sports is seeking an experienced Event Activation Manager to join our dynamic team in Bali. This is a full-time position based at our vibrant venue, where you will be responsible for conceptualising, planning and executing innovative event activations that drive brand engagement, customer experience and revenue growth. This role is pivotal to establishing Legends as the premier destination for events and experiences in Bali, working directly with our management team to bring our venue's vision to life through compelling, memorable events.

Key responsibilities

• Conceptualise, develop and execute innovative event activations that align with Legends Bistro Bar & Sports' brand positioning and business objectives
• Plan and coordinate all aspects of event logistics, including venue setup, catering, audio-visual requirements, staffing and vendor management
• Manage event budgets effectively, negotiating with suppliers and ensuring cost efficiency whilst maintaining quality standards
• Liaise with internal teams including operations, marketing and food and beverage to ensure seamless event delivery
• Conduct pre-event planning meetings and post-event debriefs to optimise future activations and measure success against key performance indicators
• Develop and maintain relationships with external partners, sponsors, clients and vendors to support event execution
• Create promotional materials and marketing campaigns to drive awareness and attendance for scheduled events
• Monitor attendee experience and gather feedback to continuously improve event quality and satisfaction
• Stay abreast of industry trends and competitor activities to ensure Legends' events remain innovative and competitive
• Troubleshoot issues and manage unexpected challenges during event delivery with professionalism and composure

What we're looking for

• 3+ years of experience in event management, event activation or experiential marketing within the hospitality, entertainment or F&B sector
• Proven track record of successfully planning and executing events with attendance of 50+ guests
• Strong project management skills with the ability to manage multiple events simultaneously whilst maintaining attention to detail
• Excellent communication and interpersonal skills, with the ability to collaborate effectively across all levels of the organisation
• Creative mindset with the ability to develop unique, engaging event concepts that resonate with target audiences
• Proficiency in event planning tools and software; experience with Microsoft Office Suite essential
• Budget management expertise and demonstrated ability to deliver events within financial constraints
• Strong vendor and supplier relationship management capabilities
• Knowledge of Bali's hospitality landscape and event industry is advantageous
• Flexibility and availability to work evenings and weekends as required by event schedules
• Excellent problem-solving skills and ability to remain calm under pressure
