About the Role

We are looking for an Event & Logistics Executive with experience in an event management company who can independently coordinate and manage the complete execution of events and sessions.

The candidate will be responsible for managing pre-event planning, logistics, on-ground event operations, coordination during the event, and post-event closure.

Key Responsibilities

1. Pre-Event Planning & Coordination

• Understand event requirements, timelines, scope, and deliverables.
• Coordinate with clients, vendors, event partners, and internal teams.
• Plan event logistics, manpower, transportation, materials, equipment, and venue requirements.
• Coordinate venue setup, branding, seating, stage, audio-visual, catering, and other arrangements.
• Prepare event checklists and ensure all requirements are completed before the event.

2. Event Execution & Operations

• Manage the complete on-ground execution of events and sessions.
• Coordinate with vendors, production teams, venue staff, and support staff during the event.
• Ensure the event starts and operates as per the planned schedule.
• Handle last-minute operational issues and provide quick solutions.
• Monitor manpower, material movement, setup, dismantling, and overall event logistics.
• Ensure smooth coordination between all stakeholders throughout the event.

3. Event Management

• Manage multiple activities/sessions happening during the event.
• Ensure all event deliverables are executed properly and on time.
• Coordinate guest/VIP movement, registrations, seating, hospitality, and other event requirements as applicable.
• Maintain proper communication with the event team and management.
• Take ownership of the event from start to finish.

4. Post-Event Closure

• Coordinate event dismantling and material movement after completion.
• Ensure all rented equipment, materials, and assets are properly returned.
• Coordinate vendor closures and pending requirements.
• Verify bills, expenses, and event-related documentation.
• Prepare a basic post-event report and share key observations with management.

• Experience in handling events from planning to closure.

• Strong communication and negotiation skills.
• Ability to manage multiple activities simultaneously.
• Good problem-solving and decision-making ability.
• Ability to work under pressure and handle last-minute changes.
• Strong follow-up and execution skills.
• Willingness to travel and work flexible hours as required for events.

Preferred Background

Candidates currently or previously working with Event Management Companies, Event Agencies, Exhibition Companies, Corporate Event Companies, or Experiential Marketing Agencies will be preferred.

Ideal Candidate

We are looking for someone who is a hands-on event executor, not just a coordinator—someone who can take ownership of an event, manage the logistics, coordinate the complete team, ensure smooth on-ground execution, and successfully close the event.
