What they need
Event Coordinator
Be the Person Who Keeps Every Event Moving
An event is only as successful as the work happening behind it. We’re looking for an Event Coordinator to help turn plans, conversations, and requirements into well-organized events.
You’ll be involved from the early stages of an event through completion, keeping people informed, resolving day-to-day issues, and making sure important details are followed through. This role is ideal for someone who enjoys variety and likes being responsible for making sure things happen when they should.
Day to Day
- Act as a point of contact for event-related questions and updates
- Gather requirements from clients and turn them into clear action items
- Keep track of event milestones and communicate upcoming priorities
- Liaise with venues, partners, suppliers, and internal departments
- Help coordinate guest requirements and special arrangements
- Review event information and identify gaps that need to be addressed
- Organize briefing materials and information for teams involved in delivery
- Keep stakeholders updated when plans or requirements change
- Assist with resolving unexpected issues before and during events
- Coordinate last-minute requests and communicate practical solutions
- Help monitor event-related spending and routine expenses
- Maintain clear records of decisions, changes, and completed actions
- Support event-day teams with information and coordination when required
- Gather feedback after events and contribute to future planning discussions
What’s Important
You’ll need to be someone who takes ownership and follows things through. Strong communication is important because you’ll regularly need to gather information, clarify expectations, and keep different people updated.
Previous event planning, hospitality, customer service, administration, marketing, project coordination, venue operations, or client-facing experience is useful, although training will be provided on our processes and systems.
We’re looking for someone who can stay organized when priorities change, is comfortable solving practical problems, and pays attention to details that could affect an event. Confidence using email, calendars, spreadsheets, and standard workplace software is helpful.
