About the role
We are looking for an experienced Event Coordinator to join our team, working with a diverse range of clients across event hire, quoting and project coordination.
You will work with clients to understand their requirements, recommend suitable equipment and solutions, prepare quotes and plans, coordinate bookings, and manage projects from initial enquiry through to delivery. You will also take ownership of the event hire and project coordination requirements for some of Event Mill Group’s major events.
This is predominantly a Monday to Friday, office-based role, with occasional client meetings and site visits.
Working across Event Mill Group, you will have access to the extensive equipment, structures and custom solutions available across The Event Mill, Reeces Hire and ExpoCentric WA. You will work across everything from premium corporate events, weddings and private events through to festivals, activations and some of Western Australia’s biggest events.
This role would suit an Event Coordinator who enjoys the client, quoting and commercial side of events and wants to take on more responsibility across event hire, project coordination and client relationships.

Event Hire Solutions: Understand client briefs and recommend suitable furniture, marquees, structures, flooring, lighting, bars and other event hire solutions
Quoting: Prepare accurate hire quotations covering equipment, labour, transport, installation and supplier requirements
Project Coordination: Coordinate hire projects from initial brief through to delivery, managing timelines, documentation, suppliers and internal requirements
Client Relationships: Build and maintain strong relationships with corporate clients, event managers, venues, wedding planners, government clients and industry partners
Sales & Follow Up: Follow up quotations, respond to client questions and help convert opportunities into confirmed bookings
Site Visits: Attend client meetings and site visits where required to understand event requirements and develop suitable solutions
Planning: Prepare and coordinate floor plans, layouts, equipment schedules and other documentation to support proposals and confirmed bookings
Availability & Inventory: Work with internal systems and teams to confirm equipment availability, identify alternatives and manage competing requirements
Internal Coordination: Work closely with our Scheduling, Operations and Warehouse teams to ensure confirmed jobs are accurately scoped and ready for delivery
Major Events: Support hire requirements and project coordination for major events and larger projects being delivered across Event Mill Group
About you
At least two years of experience in event coordination, event hire, event management, venue events or a similar client-facing events role
Confidence managing client enquiries and bookings from initial brief through to confirmation
Strong quoting and budgeting skills with excellent attention to detail
A good understanding of event equipment, logistics and the practical requirements involved in event delivery
Proven ability to manage multiple enquiries, quotations and priorities in a fast-paced environment
Commercially minded, with the confidence to follow up opportunities, convert enquiries into bookings and maintain appropriate margins
