Chicago, IL

Full-time | Monday–Friday | On-site

Every Event Starts With a Plan.

A successful event depends on more than what guests see on the day. Behind the scenes, schedules need to line up, materials must be ready, and everyone involved needs to know what is happening and when.

We’re looking for an Event Coordinator in Chicago, IL to help organize event logistics, coordinate promotional activities, and keep planning tasks moving forward. This role suits someone who enjoys bringing people together, managing details, and working across different projects in a fast-moving environment.

A Typical Week Could Involve

  • Coordinating event schedules, timelines, and preparation checklists.
  • Communicating with vendors, venues, internal teams, and event partners.
  • Helping arrange event spaces, equipment, supplies, and promotional materials.
  • Tracking bookings, confirmations, deadlines, and outstanding requirements.
  • Organizing attendee information, registrations, and guest communications.
  • Preparing event documents, schedules, and briefing materials.
  • Supporting promotional events, brand activations, and marketing initiatives.
  • Monitoring event budgets, expenses, and supply requirements as assigned.
  • Helping resolve last-minute changes and communicating updates to the right people.
  • Assisting with event setup, on-site coordination, and post-event breakdown when required.
  • Gathering feedback and preparing summaries after events.
  • Maintaining organized records for upcoming and completed events.

What You’ll Need

You don’t necessarily need a long background in event planning. We’re interested in someone who can stay organized, communicate confidently, and keep track of several moving parts without losing sight of the details.

  • Strong organizational and time-management skills.
  • Clear written and verbal communication.
  • Good attention to detail and follow-through.
  • Comfortable using email, spreadsheets, calendars, and standard office software.
  • Able to manage changing priorities and work towards deadlines.
  • Professional approach when communicating with suppliers, guests, and colleagues.
  • Reliable, adaptable, and comfortable working as part of a team.
  • Previous experience in events, hospitality, marketing, administration, customer service, or coordination is helpful.

Training will be provided on internal procedures, event planning processes, and the systems used by the team.

If you’re looking for an Event Coordinator position in Chicago, IL where you can develop your planning skills, support engaging events, and help turn ideas into well-organized experiences, submit your current resume for consideration.
