Brightstar is New Zealand’s largest and most respected conference and exhibition company. We build capability and connection through the events we create and deliver for New Zealand business audiences.
We own and run more than 40 conferences each year, as well as training courses for New Zealand business audiences. Our dedicated team of 20 works closely together, sharing knowledge, supporting one another and taking collective ownership of delivering great events.
We’ve been creating business events for 28 years and are proudly New Zealand owned.
We’re looking for an Event Delivery Lead to join our team and play an important role in the planning and delivery of a portfolio of conferences and client projects.
This is a hands-on, varied role for someone who enjoys being organised, working with people and bringing lots of moving parts together. You’ll work alongside our experienced event team and take ownership of key operational areas across our conferences – working with clients, venues, suppliers, speakers, sponsors and internal teams to make sure everything is planned, coordinated and delivered to a high standard.
You don’t need to have extensive event experience to be successful in this role. If you have strong practical organisation skills, attention to detail, a proactive approach and enjoy making things happen, we’d love to hear from you.
Key Responsibilities:
- Supporting and taking ownership of the end-to-end operational delivery of assigned events, from planning through to event day and post-event wrap-up.
- Coordinating event timelines, budgets, suppliers, venues, AV, catering, speakers, sponsors and other event logistics.
- Building positive and professional relationships with clients, suppliers, speakers, sponsors and other stakeholders.
- Working closely with internal teams of each event.
- Preparing event documentation, timelines, run sheets and other operational requirements.
- Supporting event-day delivery, including event teams, suppliers, pack-in/pack-out and troubleshooting issues as they arise.
- Identifying potential issues early and taking a practical, solutions-focused approach to resolving them.
- Keeping projects on track and ensuring agreed timelines, budgets and quality expectations are met.
- Contributing to the improvement of our event systems, processes and ways of working.
- Working collaboratively across the team and sharing responsibility for the successful delivery of our conference portfolio.
About you
You’ll be an organised, proactive and practical person who enjoys working with people, keeping things on track and taking ownership of getting things done.
You’ll bring:
- Strong organisational and administrative skills, with excellent attention to detail.
- The ability to manage multiple tasks and priorities while keeping an eye on the bigger picture.
- Excellent written and verbal communication skills.
- A positive, pragmatic and solutions-focused approach.
- Confidence communicating with a range of people and building good working relationships.
- A willingness to learn and take on new challenges.
- Confidence working with systems and technology, with the ability to learn new platforms quickly.
- Familiarity with Microsoft 365 and CRM or project management systems. Experience with Zoho is an advantage, but not essential.
- Previous experience in events, administration, project coordination, hospitality, customer service or a similar environment would be an advantage – but we’re more interested in your ability to organise, communicate and take ownership.
Most importantly, you’ll be someone who takes personal responsibility for their work and the outcomes they contribute to, while bringing a positive, practical and customer-focused approach to everything you do.
You’ll be joining a supportive team where we work collaboratively, share knowledge and take collective ownership of delivering successful conferences and great experiences for our clients and delegates.
