Event Executive

About the role

Iconic Marjorie Hotel, a Tribute Portfolio is seeking an Event Executive to join our dynamic hospitality team in Bayan Lepas, Penang. This is a full-time position based on-site at our property, where you will play a crucial role in delivering exceptional event experiences for our guests and clients. As an Event Executive, you will be responsible for coordinating, planning and executing a diverse range of events, from corporate conferences and weddings to social gatherings and private functions. This role is integral to enhancing our hotel's reputation and generating revenue through outstanding event management and client satisfaction.

Key responsibilities

• Coordinating all aspects of event planning and execution, including venue setup, catering arrangements, audiovisual requirements and technical specifications
• Liaising with clients to understand event objectives, budgets and specific requirements, ensuring clear communication throughout the planning process
• Managing event timelines, checklists and contingency plans to ensure seamless delivery on the day of the event
• Collaborating with internal departments including sales, catering, housekeeping and maintenance to ensure all event needs are met
• Overseeing on-site event operations, including guest registration, crowd management and real-time problem-solving
• Maintaining detailed event documentation, contracts and records for future reference and analysis
• Monitoring event budgets and expenses to ensure profitability and cost-effectiveness
• Gathering client feedback post-event and implementing improvements for future engagements
• Supporting the sales team with event proposals, site inspections and presentations to potential clients

What we're looking for

• Bachelor's degree in Hospitality Management, Event Management, Tourism or a related discipline
• 2-3 years of proven experience in event coordination, event management or a similar role within the hospitality industry
• Strong organisational and project management skills with the ability to manage multiple events simultaneously
• Excellent communication and interpersonal abilities, with confidence in liaising with diverse stakeholders
• Proficiency in event management software and Microsoft Office applications
• Creative problem-solving skills and the ability to adapt quickly to changing circumstances
• Attention to detail and a commitment to delivering high-quality results
• Knowledge of audio-visual equipment, room setup configurations and event logistics
• Ability to work flexible hours, including evenings and weekends as required by event schedules
• Professional demeanour with a service-oriented mindset and passion for hospitality
