Event / Implementation Manager

Company: Nomad Agency Inc.

About the Role

Nomad Agency Inc. is looking for a highly organized, detail-oriented, and execution-driven Event Manager to lead the planning, costing, coordination, and execution of advertising campaigns, events, brand activations, and other client projects.

The Event Manager will be responsible for taking projects from client brief and cost estimation through planning, production, execution, and project closeout. This role requires strong project management skills, commercial awareness, attention to detail, and the ability to coordinate multiple teams, suppliers, and stakeholders under tight deadlines.

The ideal candidate is someone who does not simply follow up on tasks but takes ownership of the project, anticipates problems, verifies completion, and ensures that every critical requirement is properly executed.

Key Responsibilities

Project Planning & Management

  • Receive, analyze, and translate client briefs into clear project requirements and deliverables.
  • Develop project timelines, workback schedules, milestones, production schedules, and operational checklists.
  • Coordinate internal teams including Account Management, Creative, Production, Logistics, Finance, and other relevant departments.
  • Monitor project progress and ensure deliverables are completed according to agreed timelines.
  • Identify project risks, dependencies, and potential execution issues and implement appropriate solutions.

Cost Estimation & Budget Management

  • Prepare detailed project cost estimates based on client briefs, scope, and requirements.
  • Source and consolidate quotations from suppliers and production partners.
  • Develop cost breakdowns covering production, manpower, logistics, venues, equipment, materials, transportation, and other project requirements.
  • Calculate applicable agency fees, mark-ups, contingencies, taxes, and other costs in accordance with company guidelines.
  • Review cost estimates for accuracy, completeness, and commercial viability.
  • Prepare revised estimates based on changes in scope, client requirements, or budget.
  • Track project costs from initial estimate to approved budget and actual expenses.
  • Identify and communicate potential cost overruns before commitments are made.
  • Recommend cost-efficient alternatives without compromising project quality or objectives.

Event & Campaign Execution

  • Lead the end-to-end execution of events, brand activations, launches, roadshows, and other advertising campaigns.
  • Develop detailed event run-downs, production schedules, and deployment plans.
  • Conduct pre-event meetings, production briefings, technical briefings, and site inspections.
  • Oversee ingress, setup, rehearsals, event proper, dismantling, and site turnover.
  • Ensure all materials, equipment, manpower, and production requirements are ready and properly tested before deployment.
  • Manage on-ground teams and resolve issues quickly and effectively during execution.

Supplier & Vendor Management

  • Source, coordinate, and manage suppliers, contractors, production houses, manpower agencies, venues, and other third-party partners.
  • Request, compare, and evaluate supplier quotations.
  • Negotiate costs and commercial terms when appropriate.
  • Ensure suppliers understand project specifications, deadlines, and quality requirements.
  • Monitor supplier performance, deliverables, and compliance.
  • Conduct quality and technical checks prior to deployment.

Client & Internal Coordination

  • Translate client requirements into clear internal action points.
  • Coordinate client approvals, revisions, and sign-offs.
  • Provide accurate project updates and communicate changes in scope, timelines, and costs.
  • Ensure client-approved requirements are properly communicated to the execution team.
  • Work closely with Account Management to ensure projects remain aligned with client expectations.

Team Leadership & Accountability

  • Assign responsibilities, deadlines, and deliverables to project team members.
  • Lead project meetings and internal alignment sessions.
  • Monitor team performance and project progress.
  • Follow up on critical requirements and verify that tasks have actually been completed.
  • Escalate resource, performance, budget, or execution concerns when necessary.
  • Promote accountability, collaboration, and proactive problem-solving within the project team.

Quality & Risk Management

  • Ensure all project outputs meet approved client specifications and quality standards.
  • Conduct pre-deployment checks and testing of critical requirements.
  • Identify operational, logistical, technical, manpower, and supplier risks.
  • Develop contingency plans for critical project requirements.
  • Resolve execution issues promptly and escalate major concerns appropriately.

Documentation & Project Closeout

  • Maintain complete and organized project documentation, including:
  • Client briefs
  • Cost estimates
  • Supplier quotations
  • Project timelines
  • Production schedules
  • Checklists
  • Event run-downs
  • Purchase orders
  • Meeting minutes
  • Incident reports
  • Post-event reports
  • Reconcile estimated, approved, committed, and actual project costs.
  • Ensure all project deliverables and financial requirements are completed.
  • Conduct post-project reviews and document lessons learned and recommendations for future projects.

Qualifications

  • Bachelor’s degree in Marketing, Advertising, Communications, Business, Events Management, or a related field.
  • At least 2–4 years of experience in project management, events, advertising, activations, production, or a related agency environment.
  • Proven experience managing events, brand activations, campaigns, or other client-facing projects.
  • Experience preparing project cost estimates and managing project budgets.
  • Strong supplier and vendor management skills.
  • Strong organizational and time-management skills.
  • Excellent communication and coordination skills.
  • Ability to manage multiple projects and deadlines simultaneously.
  • Strong attention to detail and problem-solving abilities.
  • Willingness to work on-site and during events, including weekends or extended hours when project requirements demand.
  • Proficiency in Microsoft Office / Google Workspace and project management tools.

Preferred Skills

  • Experience working in an advertising, experiential marketing, events, or activation agency.
  • Strong understanding of event production and logistics.
  • Experience negotiating with suppliers and managing production costs.
  • Strong commercial and budgeting awareness.
  • Ability to read and understand production specifications, quotations, and project costing.
  • Experience managing large-scale events, brand activations, or nationwide campaigns.

What We’re Looking For

We are looking for someone who is:

  • Proactive rather than reactive.
  • Highly organized and detail-oriented.
  • Accountable for results, not just task completion.
  • Comfortable working under pressure and tight deadlines.
  • Confident coordinating multiple stakeholders and suppliers.
  • Commercially aware and cost-conscious.
  • Able to anticipate problems and develop solutions before they affect execution.
  • Willing to take ownership from brief to project completion.

  • Supplier and production performance
  • Quality of event/project execution
