What they need

Our client, a B2B technology company, is seeking an experienced Conference & Events Manager to create and deliver customer-focused conferences and hosted events. This hands-on position combines event development, program planning and operational execution, with a particular emphasis on multi-day user conferences.

The ideal candidate has directly managed customer or user conferences within B2B technology and brings experience building events from the ground up. Working with event leadership and colleagues across marketing, sales, product and customer teams, this person will create experiences that help customers learn, connect and get more value from the company’s offerings.

Key Responsibilities

  • Own the planning and delivery of customer and user conferences, managing the full event lifecycle from early development through post-event reporting.
  • Translate business goals into event concepts, audience plans, formats and attendee experiences, with clear budgets and performance measures.
  • Collaborate with internal stakeholders to build programming that includes executive presentations, educational sessions, product demonstrations, customer stories and networking.
  • Coordinate speakers and presenters, including preparation schedules, rehearsals, presentation materials and session logistics.
  • Research and recommend destinations and venues based on meeting requirements, accessibility, lodging, hospitality, production capabilities and cost.
  • Oversee event finances, including budget development, spending projections, vendor commitments and expense reconciliation.
  • Select event suppliers, negotiate contracts and manage relationships with venues, production teams, audiovisual providers, caterers and registration partners.
  • Coordinate attendee logistics, including registration, hotel arrangements, transportation, food and beverage, signage and event staffing.
  • Maintain project schedules, production plans, run-of-show materials and backup plans to keep teams aligned and events on track.
  • Direct on-site operations, overseeing setup, event delivery and breakdown while addressing issues and coordinating staff and vendors.
  • Partner with marketing and customer-facing teams on invitations, registration communications, attendee updates and follow-up.
  • Deliver executive gatherings, customer forums, partner meetings and other tailored hosted experiences.
  • Assess attendance, participation, attendee feedback and financial results to identify improvements for future events.
  • Develop reusable planning resources and processes that support consistent execution as the event program grows.
  • Provide support for trade shows and other priority events as needed, with customer and user conferences remaining the primary focus.

Required Qualifications

  • At least six years of relevant experience in conference planning, corporate events, experiential marketing or a related field, including responsibility for complex, multi-day events.
  • Direct experience managing customer or user conferences for B2B technology audiences.
  • A track record of developing a conference or comparable custom event from the beginning, including its concept, structure, programming and attendee experience.
  • Practical knowledge of conference operations, including venue selection, registration, audiovisual production, hospitality and on-site management.
  • Experience owning budgets, forecasting costs, negotiating agreements and managing vendor performance.
  • Strong project management skills, with the ability to coordinate multiple teams, deadlines and interdependent workstreams.
  • Clear communication skills and confidence working with executives, customers, partners and external suppliers.
  • Excellent organizational skills, attention to detail and the ability to adapt when priorities or event needs change.
  • A bachelor’s degree in marketing, communications, hospitality, event management, business or a related discipline.

Preferred Qualifications

  • Background supporting events in financial technology, financial services, payments or related B2B industries.
  • Experience with executive programs, customer advisory meetings or partner events.
  • Familiarity with Cvent or comparable platforms for registration, attendee messaging, session administration, surveys and reporting.
  • Certified Meeting Professional (CMP) designation or Cvent certification.
  • Experience overseeing event agencies and external production teams.
  • Comfort using project management software and AI-assisted productivity tools to improve planning and coordination.
