About the role

We are seeking a talented and organised Event Planner to join our team at Rock Maestro Sdn Bhd. This is a full-time position based in Kota Kinabalu, Sabah. As an Event Planner, you will play a crucial role in conceptualising, planning and executing a diverse range of events, from corporate conferences and product launches to entertainment shows and community gatherings. This position is essential to our company's success, as you will be responsible for transforming client visions into seamless, professionally delivered events that leave lasting impressions and drive business growth.

What you'll be doing

• Consulting with clients to understand their event objectives, requirements and budget constraints
• Developing comprehensive event proposals, timelines and project plans that align with client expectations
• Coordinating with multiple vendors including venues, caterers, audio-visual providers and entertainers to secure services and negotiate contracts
• Managing event budgets, tracking expenses and ensuring financial targets are met
• Conducting site visits and inspections to assess venues and identify potential logistics challenges
• Creating and maintaining detailed checklists, schedules and contingency plans to ensure smooth event execution
• Managing on-site logistics during events, including staff coordination, setup and breakdown
• Problem-solving and addressing issues or unexpected challenges that arise before, during or after events
• Liaising between clients and internal teams to ensure clear communication and alignment throughout the event planning process
• Maintaining relationships with existing clients and identifying opportunities for repeat business and referrals
• Monitoring event performance, gathering feedback and preparing post-event reports and evaluations

What we're looking for

• Proven experience in event planning and management, ideally within a professional event management company or equivalent environment
• Strong organisational skills with the ability to manage multiple projects simultaneously and meet tight deadlines
• Excellent communication and interpersonal abilities, with the capacity to build strong relationships with clients and vendors
• Budget management experience and proficiency in financial tracking and cost control
• Proficiency in Microsoft Office Suite and event management software or planning tools
• Knowledge of event logistics, including venue selection, catering, audio-visual requirements and staffing
• Creative thinking and problem-solving capabilities to deliver unique and engaging event experiences
• Attention to detail and a commitment to maintaining high quality standards
• Flexibility and adaptability to work irregular hours, including evenings and weekends when required for event delivery
• Professional demeanour with the ability to remain calm under pressure
• A passion for delivering exceptional client experiences and memorable events
• Preferred: Experience in marketing and communications within the events industry, knowledge of social media promotion for events, or experience working with corporate clients
