What they need
Role: Events Assistant (Full-time)
Hours: 37.5 hours per week
You are probably the person who notices when a banner stands crooked, keeps a running mental list of the equipment everyone else forgot, and gets a quiet sense of satisfaction from seeing a completely empty hall transformed into a buzzing, well-run event. You prefer active, practical tasks over sitting at a desk all day, and you take pride in being the dependable presence on the ground who keeps things moving smoothly behind the scenes.
If you are looking for an entry-level position in London where you can learn the practical mechanics of live event staging, guest registration, and venue logistics, this full-time role is an ideal fit. We are expanding our central event operations team and need an organized, hands-on Events Assistant to support our calendar of corporate functions, exhibition showcases, and regional launches.
Core Duties & Day-to-Day Tasks
Working directly with our London event producers and site managers, your day-to-day responsibilities will include:
- Responding to delegate and speaker enquiries by email and telephone regarding arrival, ticketing, and accessibility.
- Assembling welcome packs, printing attendee badges, and preparing branded materials ahead of live event dates.
- Checking, packing, and loading event kit, registration systems, and display banners for transport to venues.
- Assisting with the physical setup of event spaces, including setting up check-in desks, directional signage, and seating layouts.
- Staffing front-of-house welcome desks on live dates, checking in attendees, and answering visitor questions.
- Supporting room handovers between presentation sessions, resetting stage furniture, and keeping registration areas tidy.
- Helping clear down venues post-event, safely re-packing equipment, and carrying out stock counts.
- Logging venue delivery notes, tracking daily event expenses, and updating master operational schedules.
What We Look For
We place much more emphasis on personal reliability, practical organization, and clear communication than on formal qualifications in event management. We look for:
- A polite, approachable manner when greeting visitors, speaking with venue staff, and helping colleagues.
- High personal standards of organization, with a habits-based approach to double-checking task details.
- A steady, level-headed attitude when shift priorities adjust quickly during live operations.
- Basic computer skills, including comfort using email, Microsoft Word, and spreadsheets.
- Physical willingness to assist with packing, moving, and assembling event display equipment.
- Previous experience in customer service, hospitality, retail, office administration, university society coordination, or sales support is a plus, but not essential as full training is provided.
Guidance & Practical Skill Building
We make sure you learn the operational fundamentals of event production through direct, day-to-day involvement with experienced colleagues.
When you start, you will be paired with an established coordinator who will walk you through our operational checklists, equipment systems, and delegate software. Through regular one-to-one catch-ups with your manager, you will receive ongoing feedback on task efficiency, floor coordination, and event logistics. As you gain confidence across our event formats, you will take on greater responsibility for specific floor zones and progress toward Events Coordinator roles.
What We Offer
- Competitive base salary
- Performance-based bonuses linked to event support accuracy and delivery benchmarks
- Complete initial training covering event logistics, safety procedures, and registration software
- Regular one-to-one coaching and continuous skill progression
- Practical, hands-on event experience across diverse London venues
- Team social events and group incentives
- Formal recognition for shift reliability, attention to detail, and event support
- Clear internal progression pathways toward Events Coordinator and project support positions

If you want to bring your practical work ethic and organized approach to a supportive London events team, please submit your CV along with your current contact details. We review applications regularly and will contact suitable applicants for an initial phone chat.
