What they need

About Us

The Chilliwack Division of Family Practice is a non-profit society representing family physicians and nurse practitioners in Chilliwack, Agassiz, Seabird Island and Hope. We are dedicated to improving primary care services and fostering strong relationships between healthcare providers and the community. We are currently seeking an organized and enthusiastic Events Coordinator to support the planning and delivery of Division events, meetings, and engagement activities.

Position Summary

As an Events Coordinator, you will support the coordination and delivery of a variety of Division events and engagement activities, working closely with staff, physician and nurse practitioner leaders, community partners, and vendors. You will help ensure events are organized, welcoming, well-executed, and aligned with the Division's strategic priorities.

This role is ideal for someone who enjoys bringing people together, managing many details at once, and creating positive experiences for participants. You'll support both large and small events, including member engagement meetings and networking events, and an annual conference.

We're looking for someone who combines exceptional organizational skills with strong relationship-building abilities. You should be comfortable coordinating multiple events simultaneously, solving problems creatively, and working collaboratively in a fast-paced environment.

Key Responsibilities

  • Event Planning & Coordination
  • Work with Division staff, physician leaders, nurse practitioners, and partners to plan and deliver events and engagement activities.
  • Coordinate event logistics including venues, catering, registration, accommodations, technology, supplies, and transportation as required.
  • Develop and manage event timelines, workplans, and task lists to ensure successful execution.
  • Serve as a primary point of contact for event participants, speakers, vendors, and partners.
  • Coordinate attendee communications, invitations, registrations, reminders, and follow-up activities.
  • Support onsite event delivery, including set-up, participant support, troubleshooting, and post-event wrap-up.
  • Coordinate virtual and hybrid event logistics and technology requirements.
  • Administration, Communications & Reporting
  • Maintain event budgets and track expenditures.
  • Process invoices, payments, and reconciliations related to events.
  • Collect and analyze participant feedback and event evaluation data.
  • Prepare summary reports and recommendations to support continuous improvement.
  • Develop promotional materials and event communications in collaboration with Division staff.
  • Maintain event records, registration databases, and planning documents.
  • Support meeting logistics for committees, working groups, and member-led initiatives.
  • Perform other duties as required.

Training and orientation will be provided on relevant event processes, tools, communication platforms, and organizational systems, with ongoing support as the successful candidate becomes familiar with the role.

Join us in making a positive impact in the community and shaping the future of primary care in Chilliwack and the surrounding areas.

Please submit your resume and cover letter outlining your qualifications and experience to [email protected]. We thank all applicants for their interest, but only those applicants selected for an interview will be contacted.

The Division is committed to equal opportunity in recruitment practices. It is our policy to afford equal employment opportunities to all persons, regardless of their Indigenous identity, race, colour, ancestry, place of origin, political belief, religion, marital status, family status, physical or mental disability, sex, sexual orientation, gender identity or expression, age, or criminal or summary conviction offence that is unrelated to employment.
