What they need
Snow Machine is your ultimate ski trip and music festival in one! Our events comprise four days of music and apres parties in some of the most sought after snow destinations in the world, Queenstown New Zealand and Hakuba Japan!
Behind Snow Machine is a small, dedicated and passionate team that works hard to create an exceptional ski and music festival experience for our customers. From planning and coordinating bookings through to delivering the events on the ground, we work collaboratively to make sure everything runs smoothly.
Our people are central to how we operate. You can expect clear leadership, opportunities to grow your skills, and recognition for doing your job well. We value collaboration, accountability, initiative and a positive attitude, and we're proud of the strong customer satisfaction we've built over time.
Our close-knit Queenstown team is growing, and we're looking for a positive and like-minded person to join us in a permanent, full-time, year-round position supporting the planning and delivery of both our annual events.
About the role:
As an Events Sales Assistant, you'll play an important role in supporting our customers and coordinating the bookings, services and operational details that contribute to the successful delivery of Snow Machine.
Your responsibilities will include:
- Assisting with end-to-end event booking and ticketing processes, including responding to enquiries, processing bookings and payments, coordinating event-related products and services, and ensuring booking information is accurate.
- Managing and updating customer bookings across multiple platforms, including Megatix, Shopify and Reslogic, ensuring accuracy and timely follow-up.
- Providing a high level of customer service across email, phone and online platforms, answering event-related questions, resolving booking issues and supporting customers throughout their Snow Machine experience.
- Assisting with the coordination of customer registrations, ticketing and other event-related requirements in the lead-up to each festival.
- Liaising with internal teams and event partners to help coordinate products, services and customer requirements for our Queenstown and Hakuba events.
- Supporting event planning and operational preparation, including maintaining accurate booking information and assisting with schedules, customer communications and event logistics.
- Reviewing booking and customer data to identify issues, trends and information that may assist with event planning and delivery.
- Supporting on-site festival operations, including troubleshooting customer and ticketing issues, operating the Snow Machine store, promoting and selling event products and tickets, and assisting with event set-up, delivery and pack-down as required.
- Working collaboratively with the wider Snow Machine team to resolve operational issues and ensure our customers have a great festival experience.
What we're looking for:
You'll be someone who:
- Is comfortable working in a high-pressure, fast-paced event environment.
- Has previous sales and customer service experience.
- Can problem-solve, use initiative and adapt quickly when circumstances change.
- Has excellent attention to detail and takes pride in maintaining accurate information.
- Has strong written and verbal communication skills.
- Is confident using Microsoft Office and Google Workspace and has strong general computer literacy.
- Is self-motivated and able to effectively manage competing priorities and workloads.
- Enjoys working collaboratively as part of a close-knit team.
- Has previous events experience, preferred, but not essential.
What Will You Bring to Us?
- A great attitude: Positivity, flexibility and a willingness to get involved wherever needed.
- Attention to detail: Accuracy and care when managing bookings, customer information and event requirements.
- Team spirit: Strong communication skills and the ability to work collaboratively with colleagues, customers and event partners.
- Problem-solving: The confidence to take initiative and find practical solutions, particularly when things don't go exactly to plan.
- Passion for growth: A willingness to learn, develop your skills and take on greater responsibility as you grow with the team.
If you're excited by the idea of working behind the scenes to help bring Snow Machine to life in Queenstown and Hakuba, we'd love to hear from you.
