We are seeking a highly organized, proactive, and professional Executive Administrative Assistant to provide administrative and operational support to senior leaders within a fast-paced global business organization. This role will operate at the center of complex, high-visibility business activities, helping leaders manage priorities, coordinate across global stakeholders, and maintain effective day-to-day operations.

The successful candidate will provide support across complex calendar management, meeting coordination, rhythm of business (ROB) activities, presentations, travel and expenses, Accounts Payable processes, and ad hoc business requests. This position requires strong executive presence, exceptional attention to detail, and advanced proficiency with Microsoft applications. The role is hybrid, requiring at least one day per week onsite in Redmond, WA, with regular schedule overlap from 12:00 PM to 5:00 PM Pacific Time to support global leadership.

Job Responsibilities:

  • Manage complex executive calendars, meeting requests, scheduling conflicts, priorities, and time-sensitive engagements across multiple time zones.
  • Coordinate internal and external meetings, including scheduling, logistics, agendas, presentation materials, and follow-up activities.
  • Support rhythm of business (ROB) activities, leadership meetings, recurring operational processes, and organizational priorities.
  • Coordinate domestic and international travel arrangements and support travel-related planning and documentation.
  • Prepare, process, and track expense reports, invoices, Accounts Payable activities, and related administrative transactions.
  • Create and format presentations, reports, meeting materials, spreadsheets, correspondence, and other executive-level documents.
  • Partner with Executive Assistants, Business Managers, Finance stakeholders, and administrative teams across the organization to coordinate priorities and business activities.
  • Support senior leaders with timely information, meeting preparation, communications, and administrative requests.
  • Coordinate team events, meetings, presentations, and employee activities.
  • Maintain organized and confidential business records, documents, correspondence, and administrative information.
  • Track action items and follow up with stakeholders to ensure commitments and business requests are completed accurately and on time.
  • Anticipate administrative and operational needs, proactively resolve scheduling or logistical issues, and escalate concerns when appropriate.
  • Provide general business support and assist with special projects and ad hoc organizational initiatives as required.

Requirements:

  • 2+ years of experience in executive administration, administrative support, business support, business operations, or a related role.
  • Experience supporting senior leaders and coordinating with executive-level stakeholders.
  • Demonstrated experience managing complex calendars, meeting planning, scheduling priorities, and rhythm of business activities.
  • Experience coordinating travel and managing expense-related processes.
  • Strong proficiency with Microsoft Excel, PowerPoint, Outlook, and Teams.
  • Familiarity with Microsoft Copilot strongly preferred.
  • Excellent verbal and written communication skills and the ability to communicate professionally with senior stakeholders.
  • Strong organizational and prioritization skills with exceptional attention to detail.
  • Ability to work effectively in a fast-paced environment while managing multiple priorities and changing business needs.
  • Ability to operate independently, exercise sound judgment, and complete requests accurately with minimal supervision.
  • Experience coordinating across multiple teams, functions, and time zones.
  • Ability to maintain discretion and appropriately handle confidential or sensitive business information.
  • Experience supporting leadership operations, presentations, events, or business processes.
  • Experience in a technology, consulting, professional services, sales, or similarly fast-paced corporate environment is preferred.
  • High school diploma or GED required.
