What they need

Help grow a sustainable future for people and nature

At Kaipātiki Project, we're an innovative community EcoHub empowering people to take practical action for a thriving environment and connected communities. We believe sustainability should be easy, inspiring, impactful and fun.

Our EcoHub is a busy, welcoming place where people come together to learn, share skills, restore nature and create positive change. We work alongside residents, volunteers, mana whenua, funders, local government and community partners to build a more sustainable future.

We're looking for an exceptional Executive & Programme Coordinator to become the organisational glue that helps our people, projects and partnerships succeed.

About the role

This is a varied and highly influential position that sits at the heart of our organisation. You'll work closely with our Kaihautū | Chief Executive, helping turn strategy into action while keeping programmes, funding commitments, reporting requirements and key relationships running smoothly.

You'll be the kind of person who loves bringing structure to complexity, keeping multiple priorities moving, and ensuring nothing important falls through the cracks.

No two days will be the same. You might be coordinating Board papers, tracking project milestones, preparing a funding report, organising stakeholder meetings, researching new funding opportunities, or helping share the stories of our impact.

Permanent position | 28 hours per week (Tuesday to Friday)

We're looking for someone who can commit to a regular Tuesday to Friday work week, based at our EcoHub in North Auckland.

Key responsibilities

Executive Support

  • Coordinate the Kaihautū's calendar, meetings and key commitments
  • Prepare agendas, briefings and meeting materials
  • Track actions and ensure follow-through on priorities
  • Support Board and committee processes
  • Assist with stakeholder and partner communications

Funding & Contract Administration

  • Maintain funding and reporting schedules
  • Coordinate grant applications and funder reports
  • Research funding and partnership opportunities
  • Gather information and documentation for proposals
  • Help build strong relationships with funders and partners

Programme & Project Coordination

  • Track organisational projects, milestones and deliverables
  • Coordinate information across teams
  • Support project leads with planning and reporting
  • Identify risks, gaps and dependencies
  • Maintain organised project systems and documentation

Communications Support

  • Gather success stories, project updates and photos
  • Draft newsletters, website updates and promotional content
  • Coordinate publication and printing requirements
  • Support internal communications and organisational updates

About you

You'll be a highly organised coordinator who enjoys working across multiple projects and building strong relationships.

You'll bring:

  • Proven experience coordinating projects, programmes or workstreams
  • Outstanding organisation and administration skills
  • Excellent written and verbal communication
  • Experience preparing reports, proposals or briefing papers
  • Experience with funding applications, contracts or reporting
  • Strong attention to detail and ability to manage competing deadlines
  • Confidence working with budgets, reporting requirements and data
  • Advanced digital skills, including Microsoft 365
  • Initiative, sound judgement and a solutions-focused mindset

We'd love it if you also have

  • Experience in the community, environmental, sustainability or not-for-profit sectors
  • Experience working with local government, funders or community partners
  • An understanding of environmental action, volunteering or behaviour change programmes
  • Knowledge of or interest in te ao Māori and Te Tiriti o Waitangi

What we're looking for

We're interested in who you are as much as what you've done.

You'll be someone who:

  • Takes initiative and follows things through
  • Builds trust and positive working relationships
  • Balances big-picture thinking with practical action
  • Brings calm, structure and momentum to busy environments
  • Is adaptable, curious and eager to learn
  • Understands that great coordination helps others shine

Our values

Everything we do is guided by:

  • Manaakitanga – caring for people
  • Whanaungatanga – building meaningful relationships
  • Kaitiakitanga – stewardship of our environment and communities

We honour Te Tiriti o Waitangi, embrace te ao Māori, value lifelong learning, and strive for world-class thinking and delivery.

Why join us?

This is an opportunity to make a genuine difference in your community while working alongside passionate people creating positive environmental and social impact every day.

You'll have the chance to contribute across the organisation, strengthen important partnerships, support strategic initiatives, and help grow projects that benefit both people and nature.

Apply now

If you're excited about bringing people, projects and ideas together to create lasting impact, we'd love to hear from you.

We encourage applicants from all backgrounds and experiences to apply. If you don't meet every requirement but believe you'd be a great fit for the role and our kaupapa, we'd still love to hear from you.

Don't wait until the closing date to apply. We're reviewing applications as they come in and may begin interviewing suitable candidates straight away. Applications close on 31 October 2026, or earlier if the position is filled.
