Executive Assistant & Creative Coordinator

About the role

VOLANTT is seeking an Executive Assistant & Creative Coordinator to work closely with the Founder and creative team. This hybrid role combines executive assistance, project coordination, client communication, social media management, basic graphic design, basic video editing, and creative and studio support. The role is based in Bangkok and involves working with both Thai and international clients across luxury hospitality, real estate, architecture, and lifestyle projects.

Key responsibilities

• Manage schedules, meetings and appointments for the Founder
• Organise and confirm client meetings
• Prepare meeting notes and action items
• Follow up on pending tasks and manage priorities and deadlines
• Assist with travel arrangements and prepare documents and presentations
• Support general administrative work
• Maintain project timelines and track deadlines across client projects
• Coordinate between clients and internal teams
• Schedule shoots and coordinate production logistics
• Prepare production schedules and collect client feedback
• Track revisions and organise project folders
• Follow up with team members to ensure deliverables are completed on time
• Communicate with clients through LINE, email and other channels
• Coordinate meetings and schedules with clients
• Follow up on feedback and approvals
• Communicate project updates to clients
• Help translate or adapt simple communication between Thai and English
• Support professional communication with international clients
• Publish approved content and schedule Instagram, Facebook and TikTok posts
• Upload Reels and carousels and prepare captions
• Manage content calendars and organise content assets
• Resize content for different platforms
• Support client social media accounts and check posts after publishing
• Create simple graphic design content including Instagram carousels, story graphics, reel covers, announcements, and promotional graphics
• Resize existing designs and update templates
• Help create simple social media video edits including trimming clips, adding music, subtitles and text
• Resize and export videos for social media
• Support creative research, moodboards and finding references
• Assist with production coordination and behind-the-scenes content
• Conduct location research and coordinate with models or suppliers
• Prepare presentations and update portfolios and case studies
• Organise digital assets and support client pitches

About you

• Fluent in Thai
• Good working English ability with ability to read English briefs, communicate through English messages and emails, understand instructions in English, and communicate with international clients
• Strong communication skills
• Strong organisational skills
• Comfortable using Google Workspace and Google Drive
• Familiar with Instagram, Facebook and TikTok
• Basic graphic design skills
• Basic video editing skills
• Comfortable working from the Bangkok office
• Strong attention to detail
• Ability to manage multiple tasks
• Highly organised, reliable, responsible and proactive
• Detail-oriented and comfortable multitasking
• Comfortable speaking with clients
• Creatively minded and interested in film, photography, design or branding
• Comfortable learning new tools
• Able to work independently and in a small, fast-moving team
