We're looking for an Executive Assistant & Office Manager to be the person who keeps our office running smoothly and our leaders focused on their work. You'll be the first face visitors see and the person the team relies on for anything around the office as well as a pillar of organization amongst the executive team. This is a hands-on, in-person role that suits someone who is detail-oriented, has great communication skills, and can manage shifting priorities.

Key Responsibilities

Executive Assistance

  • Manage calendars and schedule meetings for executives, including coordinating across US and Asia time zones, internal teams, and external parties
  • Communicate directly with internal and external contacts on behalf of executives to schedule, confirm, and follow up
  • Book and manage business travel, including flights, hotels, ground transportation, and detailed itineraries, and handle changes when plans shift
  • Plan and coordinate company events and offsites, such as team gatherings, customer visits, and trade show logistics, from early planning through execution
  • Prepare expense reports and help executives stay on top of deadlines and commitments
  • Handle confidential information with discretion

Office Management

  • Greet and manage visitors, including guests, candidates, customers, and partners, and handle badging, check-in, and conference room setup
  • Keep the office clean, organized, and welcoming, and coordinate with building management, cleaning services, and facilities vendors on repairs and maintenance
  • Keep the kitchen, break areas, and supply cabinet stocked, and manage ordering and vendor relationships for snacks, beverages, office supplies, and equipment
  • Receive, sort, and distribute incoming mail and packages, and handle outgoing mail and shipments
  • Onboard new hires on the office side (desk setup, access, supplies, welcome logistics)
  • Support HR administration, including new-hire paperwork, benefits enrollment with our PEO, and employee records
  • Support office safety and compliance, including emergency contacts, first aid supplies, and basic safety procedures
  • Track office expenses and supply budgets, and help process employee expense reports and reimbursements

Qualifications

  • 10+ years of experience in an office management, executive assistant, or similar administrative role, ideally at a startup or small company
  • Excellent written and verbal communication skills, with a professional and personable manner
  • Strong organizational skills and the ability to juggle competing priorities without dropping details
  • Proficiency with Microsoft Outlook, Teams, and Excel with comfort learning new software
  • Experience booking and managing complex travel
  • Sound judgment and discretion with sensitive information
  • Ability to work on-site every day and occasionally lift supplies or packages (up to ~25 lbs)

Nice to Have

  • Experience in a technology, semiconductor, or hardware company
  • Experience in Human Resource roles
  • Experience supporting a leadership team or supporting executives in a growing company
  • Experience planning events and coordinating vendors
  • Familiarity with expense tools and basic budgeting

What We Offer

  • Competitive salary ranging from $80K-$130K with stock options
  • Health, dental, and vision benefits
  • 401(k)
  • Opportunities for professional growth and development
  • A small, collaborative team working on technology at the center of AI infrastructure
